CLASSIFICATION: Learning & Development Coordinator – 1 Permanent Full-Time (75.00 Hours bi-weekly).
POSITION SCOPE:
Reporting to the Education Manager, the Learning & Development Coordinator is a learning/technology champion of fostering a continuous learning environment at Core Support Services, in ways that will optimize training and development technology for efficiency and effectiveness. The Learning and Development Coordinator works with all levels of employees, with respect to their learning and development goals, so that both their career goals and the organization’s strategic objectives are achieved. This role encompasses the optimization of new and existing technologies in the: planning, development, implementation, administration, facilitation and evaluation of education and training programs for effectiveness and efficiency. It also includes coordination of the Employee Orientation Program and Student Placements. The Learning and Development Coordinator plays a key role in the development of the organization as a Center of Excellence for continuous growth and learning. Overtime Required as Needed.
RESPONSIBILITIES:
Learning & Development & Associated Technologies
- Organize, coordinates and assists in the development of training; and/or sources training content/programs to meet specific training needs and address any identified skills gaps.
- Responsible for Surge Learning and/or other in-house learning technologies, to ensure efficient and effective delivery of orientations and training.
- May assist with creating new training modules, lessons, or workshops. May modify and/or improve existing programs to better meet Core Support Service’s needs for all learning.
- Organize Core Support Service’s orientation programs, including reviewing,
- updating, and enhancing current orientation(s) in order to ensure materials are effective, relevant and up to date with organizational related and legislated content.
- Liaise with subject matter experts to develop training manuals, standard operating procedures (SOPs), work instructions, multimedia visual aids, technologies, and other educational materials as required.
- Updates and maintains database of policies, in conjunction with HR.
- Responsible for Employee ID’s, and photo process at point of orientation. Optimizes schedule of training for employees; as well as handles the logistics for training activities, such as: room booking, handouts, while optimizing technology.
- Assists with facilitating learning through a variety of delivery methods including classroom instruction, virtual training, on-the-job coaching, technology, etc.
- Assist in maintaining and improving skills inventories and training matrices.
- Responsible for the system administrations for training; and maintains all online course content, updates user status and training records.
- Responsible for completing and maintaining all Learning & Development related Key Performance Indicators such as (KPIs).
- Assists HR in conducting reference checks. Completes other projects and performs other tasks as assigned.
- Assists in training staff on technologies and new technologies; and when required acts as a Super User for training.
- May participate in demonstrations, during the process of obtaining new technologies.

- Coordinates employee education and training programs in the organization. This can include program design, planning, facilitation and evaluation of core competency education and training (e.g., emergency plan, WHMIS, Low Arousal, positive Behavior Supports, violence prevention, Surge learning, safety, first aid & CPR) and other education/ training, as required.
- Works with team members to provide a positive learning experience for new hires during general and departmental orientation (e.g., preceptor program). May assist with other aspects of hiring process such as recruitment and interviewing.
- Coordinate’s student placements including facilitation, monitoring and evaluation of student placements. This includes working with students, community partners and other team members to provide a positive learning experience. It also involves developing and maintaining community partnerships related to prospect student placements.
- Assists with ensuring the documentation of education and training records. This entails ensuring that education/training records are completed and working with administration to provide monthly (outstanding and flagged course) and monthly reports on employee education and training.
- Advising the appropriate Director of education needs and concerns, as well as assists in the development of policies relative to education.
- Performs recruitment for Casual hires, including selection, interviews, background checks, and offers employment offer letter.
- Completes Nursing Strategy report is submitted to DCS annually.
- Initiates Surveys via Survey Monkey to obtain valuable feedback and data metrics for HR such as: post orientation surveys, six month survey, one year survey and compiles information into reports with findings.
- Utilizes spreadsheets to compile data, organize information and draw rational conclusions in the scope of interest. Makes recommendations to Manager and/or Director based on findings.
- Monitors professional licenses; obtains copies of renewal licenses and updates information on Surge. Notifies management if there are license issues, concerns or delays so proper follow up can be administered.
QUALIFICATIONS:
Diploma in a Health-Related field or Education or equivalent education and 3-5 years’ experience in Adult Education, Program Design, Implementation and Evaluation Achievement of Certified Training and Development Professional (CTDP) or Certified Training Practitioner (CTP) is considered an asset. CPHR(CHRP) designation or in progress is considered an asset. A combination of knowledge, skills, abilities and/or experience will be considered. Interested in working for an organization that provides supports and services to persons with disabilities. Knowledge of the importance of orientation and fundamentals of CORE training. Experience with instructional design, facilitation and training. Able to work with large and small groups with a diverse range of personalities and learning needs Organized, detail oriented, thorough worker, accountable for self and results. Ability to quickly understand and utilize new software and technology, as it applies to creating learning and development materials. Works effectively and efficiently in a fast-paced organization with an evolving culture, with changing priorities and technologies. Solid organization skills with the ability to manage multiple projects simultaneously, on time and on budget. Proven ability to work accurately and collaboratively in a multi-disciplinary team. Experience in healthcare related settings and understanding of healthcare operations.
