Job Description
The Role: As an Office Administrator reporting to the Office Manager, you will be at the heart of planning, managing, and executing projects that bring both unique challenges and rewarding outcomes. Your experience will be key to navigating the complexities of logistics, resource management, and working within the short construction season.
Responsibilities:
Executive & Administrative Support
- Organize and coordinate executive meetings
- Prepare agendas, distribute calendar invitations, and ensure meeting materials are available.
- Manage and organize the calendars and inboxes of the President and Operations Manager.
- Handle confidential and sensitive information with professionalism and discretion.
- Record, prepare, and distribute meeting minutes.
- Prepare and edit correspondence, presentations, reports, and other executive documents.
- Maintain organized filing systems and corporate records.
- Organize and coordinate corporate events.
- Run errands and assist with purchasing activities for the leadership team.
- Plan and coordinate travel arrangements and training sessions.
- Sort, scan, and distribute incoming mail.
Fleet Management
- Coordinate vehicle maintenance and service appointments.
- Maintain fleet documentation and records.
- Monitor GPS tracking systems.
- Order and distribute vehicle decals.
- Track insurance renewals and vehicle registrations.
Asset Management
- Track, label, and maintain company assets.
- Coordinate asset documentation, including invoices and bills of sale.
- Monitor assets through tracking systems.
- Coordinate onsite asset labeling and servicing.
- Manage Starlink equipment tracking and troubleshoot issues as required.
- Monitor Starlink assets through tracking systems.
Administrative Support
- Manage the office front desk, including welcoming visitors, handling incoming calls and inquiries, and ensuring a professional and efficient reception experience.
- Complete Visa and AMEX credit card reconciliations.
- Format documents and presentations.
- Create forms, trackers, and administrative tools.
- Drive company vehicles as required for business purposes.
- Perform other administrative duties as assigned.
Requirements:
- Proven experience in Office and/or Executive Administration.
- Strong logistical and project management skills.
- Ability to thrive in remote and challenging environments.
- A commitment to safety, precision, and quality work.
- A passion for developing long-term solutions that make a meaningful impact.
- Valid Class 5 Drivers License.
Work Schedule
Full time (40 hours/week)
Monday to Friday 8:00 am – 5:00 pm with 1 hour lunch break

Pay: $60,000.00-$75,000.00 per year
