Title: Operations Coordinator

Term and Hours Part Time – Hourly (18 hours per week)
Role
Reporting to the Executive Director, the Operations Coordinator will provide program, finance, administration, and operational support to the Executive Director and the Program Manager as required and outlined below.
Duties and Responsibilities
Operations
· Coordinate meetings of Board, staff and committees – scheduling, preparing documents, packages, meeting notices/notes, and follow up
· Track and monitor lease agreements, service agreements (i.e., cleaning service), subscriptions, and memberships, etc.
Administration
· General administrative duties including greeting visitors, maintaining contact lists, receiving and processing mail, ordering supplies, tracking and preparing tax receipts, filing
Program
· Schedule facility dog(s) – vet appointments, training, grooming, and ordering of food and medications
· Assist with event coordination and participation
Communication
· Prepare communications as required by the Executive Director
· Update and maintain phone systems, answer and/or redirect phone/email messages and provide reception support as needed
· And other duties as may be assigned by the Executive Director or Program Manager, from time to time
Education:
· Completion of relevant post-secondary education in Business Administration, Marketing and Communications, Business Administration.
Experience:
· Minimum 5 years’ experience in a program or administrative position, within a not-for-profit organization
Competencies:
· Excellent oral and written communication skills.
· A high level of professionalism, integrity and an attention to detail.
· Demonstrated experience using applicable software programs, including Word, Excel, PowerPoint, Canva, Constant Contact, Adobe Acrobat, Survey Monkey, ZOOM and Google Meets, etc.
· Expert level knowledge of; Office365 and related tools (SharePoint, etc.)
· Ability to multi-task and prioritize effectively to meet deadlines
· Experience working both independently, and in a team orientated, collaborative environment
· Strong communication, organization, decision making and influencing skills, with a client, focused orientation, and commitment to providing exceptional quality services
· Valid Class “G” Driver’s Licence.
· Satisfactory police clearance, including vulnerable sector screening
