POSITION OVERVIEW
The Payroll and Accounts Payable (AP) Associate is responsible for supporting the accurate and timely processing of biweekly payroll, full-cycle accounts payable, and general accounting activities for Holloway Lodging Corporation and its properties. The position supports payroll and accounting reconciliations, month-end and year-end activities, and provides responsive service to hotel and corporate teams, vendors, and other stakeholders.
This role is based in our Halifax office and is an in-office position, five days per week.

- Post-secondary diploma or degree in Accounting, Finance, Business Administration, Payroll, or a related field is preferred. Equivalent combinations of education and relevant experience will be considered.
- PCP designation is considered an asset.
- Knowledge of Canadian payroll legislation, accounting practices, and statutory requirements is considered an asset.
- Minimum 2 years of experience in payroll, accounting, accounts payable, or a related role; experience with end-to-end payroll is strongly preferred.
- Experience with Payworks and Sage Intacct is considered an asset.
RESPONSIBILITIES
Payroll
- Process, audit, and preview biweekly payrolls for all Holloway Lodging Corporation properties, ensuring accuracy and compliance with applicable legislation.
- Process Records of Employment (ROEs), payroll-related documentation, tax forms, statutory remittances, and government subsidy requirements.
- Maintain accurate employee payroll data and complete related reconciliations.
- Respond to payroll inquiries from employees, General Managers, senior leadership, and other stakeholders.
Accounts Payable
- Receive and verify invoices, ensuring appropriate approvals are obtained prior to payment processing.
- Enter invoices by batch into the accounting software and review invoice coding prepared by hotel staff.
- Process a high volume of invoices, ensuring credits, discounts, payments, outstanding balances, and account discrepancies are addressed accurately and in a timely manner.
- Provide ongoing weekly support and troubleshoot payment-related issues.
- Liaise with external vendors and internal departments to analyze and resolve issues.
- Reconcile vendor statements and resolve discrepancies as required.
- Maintain an accurate and up-to-date electronic filing system.
- Request and maintain supplier banking information on an ongoing basis.
- Ensure all year-end audit requirements are fulfilled in coordination with the Accounting Manager.
- Process cheque runs at least twice per month.
General
- Provide administrative and operational support to Payroll, Accounting, and other corporate departments as required.
- Maintain confidentiality of employee, payroll, vendor, and financial information.
- Collaborate effectively with cross-functional leaders, teams, and stakeholders to achieve shared objectives, drive alignment, and deliver high-quality outcomes.
