The Role
We are seeking a Patient Concierge (Reception & Lead Coordinator) to serve as the first point of contact for our patients while supporting lead engagement and bookings across the clinic.
This is not a traditional reception role.
You will play a key role in delivering a white-glove experience, managing patient flow, and converting inquiries into booked consultations and treatments.
Key ResponsibilitiesFront-of-House & Patient Experience
- Welcome patients with warmth, professionalism, and attention to detail
- Manage check-in, scheduling, and patient flow
- Maintain a polished, calm, and organized reception environment
- Ensure a premium, hospitality-driven experience at all times
Lead Management & Booking
- Respond to inbound inquiries (phone, email, website, and social)
- Follow up with leads generated through marketing campaigns
- Convert inquiries into consultations and booked services
- Guide patients through clinic offerings (aesthetics, longevity, and family medicine)
Patient Communication
- Provide clear, confident, and personalized communication
- Coordinate follow-ups, reminders, and ongoing engagement
- Build strong patient relationships and maintain high service standards
- Document interactions accurately within clinic systems
Systems & Coordination
- Work with:
- EMR: Arya and Aesthetic Record
- CRM: HubSpot
- Communications: Weave
- Collaborate closely with physicians, nurses, and clinic leadership
What We’re Looking For
- 1–4+ years experience in:
- Medical reception, OR
- Aesthetics clinics, OR
- Luxury hospitality / client-facing roles
- Excellent communication and interpersonal skills
- Confident on the phone and comfortable guiding patient decisions
- Highly organized with strong attention to detail
- Thrives in a fast-paced, growth-oriented environment
- Interest in health, wellness, or aesthetics is an asset
