Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth daily functions and company operations. This role requires proficiency in various office software, strong communication skills, and the ability to handle multiple tasks efficiently. Prior experience is a plus, along with familiarity with QuickBooks and bookkeeping. The position offers an engaging work environment where professionalism and organizational skills are highly valued.
Responsibilities
- Answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software
- Schedule appointments, coordinate meetings, and manage calendars for staff members
- Handle filing systems, document proofreading, and ensure proper organization of all administrative files
- Provide customer support through email correspondence and in-person interactions
- Assist with billing, invoicing, and basic bookkeeping tasks using QuickBooks or similar accounting software
- Maintain organizational efficiency through effective time management and prioritization of tasks
- Place supply orders and receive them at our warehouse
Requirements
- Proven clerical or administrative experience
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry capabilities
- Experience with QuickBooks and basic bookkeeping is desirable
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional communication skills, including phone etiquette and customer service experience
- Ability to handle filing systems accurately and efficiently while maintaining confidentiality
- Strong typing speed with attention to detail for proofreading documents
- Demonstrated ability to work independently as well as part of a team
- University degree required; additional certifications in administrative or office procedures are a plus
Pay: $21.00-$25.00 per hour
