We are seeking a highly organized and detail-oriented Jr. Construction Project Manager to support our construction team throughout all phases of a project—from pre-construction planning through construction and final project close-out.
The successful candidate will play a critical role in coordinating designs and construction documentation, budgets, schedules, procurement, regulatory approvals, and communication between consultants, contractors, suppliers, and internal staff. This position is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and has excellent organizational and communication skills.
Key Responsibilities
Pre-Construction
- Coordinate the complete tendering and procurement process, including preparing, distributing, tracking, analyzing, and filing tender and quotation documents.
- Maintain project budget reports during tendering and procurement and establish trade and vendor accounting files.
- Prepare, submit, monitor, and maintain all documentation required to obtain project permits and regulatory approvals.
- Coordinate the preparation and review of design and construction documents, ensuring progress, Issued for Pricing (IFP), and Issued for Construction (IFC) drawing sets are completed on schedule.
- Establish and maintain project filing systems and documentation.
- Monitor project schedules, equipment procurement, and long-lead items to ensure timely delivery.
- Coordinate site mobilization and confirm all required site documentation systems are in place before construction begins.
- Organize and coordinate pre-construction meetings, prepare agendas, distribute meeting minutes, and track action items and deliverables.
- Monitor landlord lease obligations relating to design and construction to ensure all contractual requirements are satisfied.
- Coordinate Furniture, Fixtures & Equipment (FF&E) procurement and installation schedules as required.
During Construction
- Coordinate and manage all construction documentation, including:
- Requests for Information (RFIs)
- Change Orders
- Site Instructions
- Shop Drawings
- Submittals
- Ensure documentation is distributed, tracked, and responded to promptly to maintain project schedules.
- Maintain current project budgets and prepare monthly draw documentation for approvals.
- Monitor project schedules and communicate updates to the project team.
- Ensure site staff complete and file all required project documentation, including inspections, quality reviews, health and safety records, and regulatory documentation.
- Monitor compliance with landlord lease obligations throughout construction.
- Coordinate FF&E deliveries, installation schedules, and related documentation.
- Maintain accurate and up-to-date As-Built drawing records throughout construction.
- Coordinate and schedule regular construction meetings, including site meetings, consultant meetings, and owner meetings. Prepare meeting agendas, record and distribute meeting minutes, maintain action item (to-do) lists, and follow up with project team members to ensure assigned tasks and deliverables are completed on schedule.
Project Close-Out
- Coordinate trade punch lists and deficiency lists, ensuring completion and documentation.
- Obtain and file all required consultant certifications, regulatory approvals, inspections, and occupancy documentation.
- Collect, organize, and maintain warranty documentation for all project components.
- Prepare and distribute project close-out documentation, including operation and maintenance manuals.
- Ensure all project records are complete and properly archived.
Working Conditions
· This position is primarily office-based but requires regular visits to active construction sites.
· Occasional day travel to project sites is required to attend meetings, monitor project progress, and support site staff.
· The successful candidate must be comfortable working in both office and construction site environments and be able to travel throughout the region as required.
Qualifications
At DCMI, we recognize that experience and expertise can be developed through a combination of education and hands-on work. The ideal candidate will demonstrate:
- Experience in construction project coordination, project administration, or a similar role.
- Strong understanding of commercial construction documentation and project processes.
- Experience coordinating tenders, procurement, RFIs, change orders, submittals, and project close-out documentation.
- Working knowledge of the Ontario Building Code and applicable construction regulations.
- Current WHMIS certification and Workplace Health and Safety training.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency with Office 365, particularly Excel, Word, and Outlook.
- Experience with project management or construction management software is considered an asset. Bluebeam, CAD & Fieldwire
- Valid Ontario driver's licence and access to reliable transportation for occasional travel to project sites.

Pay: $75,000.00-$95,000.00 per year
