About the Role
ColdFuel is looking for a friendly, reliable, and customer-focused Customer Service Representative to be the primary point of contact for our clients. In this role, you'll handle day-to-day customer inquiries, coordinate service bookings, and ensure every customer interaction reflects the quality and care that ColdFuel is known for. This is a customer-first position - ideal for someone who genuinely enjoys helping people and takes pride in delivering a great experience every time.
Responsibilities
Customer Support
- Respond to inbound customer inquiries via phone, email, and chat in a professional and timely manner
- Resolve customer concerns and issues with patience and a solutions-oriented approach
- Maintain accurate customer records and interaction logs in our CRM system
- Follow up with customers post-service to ensure satisfaction and address any outstanding needs
- Communicate clearly and courteously, upholding ColdFuel's commitment to exceptional service
Service Booking & Scheduling
- Manage inbound booking requests and schedule service appointments accurately and efficiently
- Coordinate between customers and the service team to confirm availability and minimize scheduling conflicts
- Send booking confirmations, reminders, and follow-up communications to customers
- Handle rescheduling and cancellations professionally, finding solutions that work for both the customer and the team
- Keep scheduling records up to date and flag any capacity issues to the appropriate team member
Additional Responsibilities
- Support the team with light outreach tasks when needed, such as following up with warm leads or checking in with existing customers on upcoming service needs
What We're Looking For
- 1+ year of experience in a customer service, reception, or client-facing role
- Excellent verbal and written communication skills — warm, clear, and professional
- Strong organizational skills with the ability to manage bookings and multiple tasks simultaneously
- Comfortable working with CRM or scheduling tools (or eager to learn)
Pay: $17.60-$21.50 per hour
