Team Smulders is a busy, well-established real estate team serving Hamilton and Burlington. We are looking for a highly organized and dependable Real Estate Administrator to support the management of the team.
This role is ideal for someone who enjoys keeping systems organized and making sure every detail of a transaction or property file runs smoothly. The right person is a self starter that is disciplined, detail-oriented, and comfortable managing multiple responsibilities at once.
Real estate experience is strongly preferred.
Key Responsibilities
- Manage buyer and seller files from accepted offer through closing
- Client care and Customer Service
- Coordinate showings and collect feedback from agents
- Communicate with clients, cooperating agents, lenders, and lawyers
- Ensure all files meet brokerage compliance requirements
- Tenant Support
- Help manage lease documentation and renewals
- Maintain organized records for each property
Client & Office Administration
- Manage calendars, documentation, and transaction timelines
- Maintain client databases and transaction management systems
- Organize digital files and ensure accurate record keeping
- Support client communication and follow-ups
- Coordinate office supplies, marketing materials, and administrative tasks
Listings & Marketing Coordination
- Prepare listing materials including feature sheets, flyers, and online listings
- Coordinate property photos, staging, signage, lockboxes, and access
- Assist with open house preparation and scheduling
- Support social media posts and marketing initiatives
- Help organize occasional client appreciation or community events
Qualifications
- Previous real estate experience will greatly benefit you
- Familiarity with OREA forms, MLS systems, and real estate transactions
- Strong organizational and time-management skills
- Excellent written and verbal communication
- High attention to detail
- Comfortable using computers and online systems
