Medical/Surgical Office Assistant
Vitalis Comprehensive Healthcare & Surgical Centre is seeking a highly organized and professional Medical/Surgical Office Assistant (MOA/SOA) to support our clinical teams, and patients in a fast-paced healthcare environment. The Office Assistant plays a critical role in supporting surgical clinics and operating room services. This position is responsible for coordinating patient appointments, managing surgical waitlists, supporting clinic operations, and providing exceptional administrative and clinical support to physicians and healthcare teams.

Key Responsibilities
Clinical & Patient Support
- Schedule clinic appointments, diagnostic investigations, and surgical procedures
- Ensure all consults are properly documented, responded and triaged by doctors
- Prepare clinics by creating and organizing clinic lists, and following up on test results
- Support efficient clinic flow by maintaining schedules and preparing exam rooms
- Greet and check in patients while ensuring current demographic information in EMR
- Submit OR bookings and forward required documentation to Pre-Admission Clinic
- Coordinate patient education and surgical instructions in collaboration with nurses
- Manage physician dictation and transcription processes
- Ensure billing documentation is completed and submitted accurately
- Prepare and submit statistical reports as required
- Support onboarding of new staff by acting as a mentor or training buddy
- Coordinate physician calendars related to clinics, surgeries, and on-call schedules
- Process incoming and outgoing mail, email, messages and phone calls
- Perform additional duties within the scope of clinical and general administrative support as assigned
Qualifications & Experience
- Completion of a recognized Medical Office Assistant or Medical Administrative Program
- Minimum six months of related clinical or healthcare administrative experience
- Experience working with electronic medical records (Accuro/LibreMD)
- Strong understanding of healthcare practices and patient confidentiality requirements
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent organizational, interpersonal, and communication skills
- Ability to manage multiple priorities and work with several providers simultaneously
- Demonstrated professionalism, initiative, and attention to detail
- Ability to work both independently and as part of a collaborative healthcare team
