Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office experience, excellent communication skills, and proficiency with various software tools. This role is vital in ensuring smooth daily functions, providing exceptional customer service, and maintaining efficient administrative processes. Experience in medical or dental office settings is a plus, but not required. The position offers an opportunity to work in a professional environment where organizational skills and attention to detail are highly valued.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, and Google Workspace
- Handle filing systems, both electronic and paper-based, to ensure documents are organized and easily accessible
- Provide customer support by addressing inquiries via phone, email, or in person, demonstrating excellent phone etiquette
- Support administrative functions such as proofreading documents, scheduling appointments, and managing calendars
- Maintain organization of office supplies and ensure the workspace remains tidy and efficient
Experience
- Prior office experience is required; experience in immigration or law offices is highly desirable
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace application
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Clerical experience involving filing, record keeping, and administrative support functions
- Customer service experience demonstrating professionalism and effective communication skills
- Knowledge of multi-line phone systems and front desk operations
- Excellent organizational skills with the ability to multitask effectively
- Typing speed of at least 30 words per minute with attention to accuracy
- Proofreading skills for document accuracy and clarity
Must Required - Knowledge of Hindi or Punjabi Language. Public Speaking and Sales experience is considered assets.
