We're Hiring: Patient Care Coordinator & ReceptionistSchedule
- Full-Time Position
- Tuesday to Saturday
- Must be willing to work at both our Airdrie and Calgary clinic locations as required
Key ResponsibilitiesPatient Experience & Frontline Service
- Greet patients and visitors warmly in person and over the phone
- Create a positive, professional first impression for every patient interaction
- Assist patients with inquiries, appointments, and clinic information
Referral Coordination
- Process and manage incoming referrals through our EMR system
- Triage referrals according to urgency and clinic protocols
- Coordinate communication with referring clinics and patients to ensure timely follow-up
Appointment Management
- Schedule, confirm, and manage medical and cosmetic appointments
- Support efficient patient flow and provider schedules
- Assist with recalls, waitlists, and appointment reminders
Administrative Support
- Perform general reception duties including filing, scanning, data entry, and supply management
- Maintain accurate patient records within the EMR system
- Support day-to-day clinic operations and team coordination
Product & Service Knowledge
- Develop a strong understanding of our medical-grade skincare products and cosmetic treatments
- Assist patients with basic product and service inquiries
- Support clinic promotions and patient education initiatives
Digital Communication
- Respond professionally to emails, online inquiries, and internal communications
- Assist with social media engagement and content support (an asset but not required)
What We're Looking ForQualifications & Skills
- Experience in a medical office, specialist clinic, aesthetic clinic, or customer service environment is preferred
- Experience with referral management and EMR systems is an asset
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to multitask effectively in a fast-paced environment
- Professional, dependable, and patient-focused

- A genuine interest in skincare products, cosmetic services, and helping patients achieve their skin health goals
- Enthusiastic about learning medical-grade skincare lines, cosmetic treatments, and patient education
