Summary of Function:
Under the direction of the Vice President, the Senior Property Manager is responsible for overseeing the management and performance of a portfolio of commercial properties, including retail, office, and industrial assets. This role ensures profitability, operational efficiency, and tenant satisfaction while maintaining compliance with company policies and industry regulations. The Senior Property Manager provides leadership to property management teams, liaises with tenants and stakeholders, and drives the successful execution of leasing, maintenance, and financial strategies. This position is full-time and based in the office, with required site visits to properties for inspections, tenant meetings, and operational needs.
Major Responsibilities:
Portfolio & Property Management:
- Oversee the operational and financial performance of a commercial property
portfolio, ensuring properties are well-maintained and operating efficiently.
- Implement and monitor strategic plans for asset performance, including tenant
retention, revenue growth, and cost management.
- Ensure compliance with lease agreements, landlord obligations, and regulatory
requirements.
- Identify opportunities for property improvements, renovations, and capital
expenditures to enhance asset value.
- Ensure all vendor and service contracts are current, cost-effective, and compliant
with company policies and legal requirements.
- Monitor and ensure insurance compliance, ensuring policies are up to date and meet
regulatory requirements.
Client & Executive Liaison:
- Act as the primary point of contact for property owners and asset managers, ensuring
strong client relationships and retention.
- Provide client reporting on financial and operational performance, including
property updates and strategic recommendations.
- Attend and represent the company at client meetings, providing insights and
solutions regarding property management.
- Prepare and present executive reports detailing portfolio performance, leasing
updates, financial trends, and operational challenges.
Financial, Budgeting & Arrears Management:
- Develop, monitor, and manage annual operating budgets for each property in the
portfolio.
- Control and optimize operating expenses to ensure cost efficiency.
- Ensure NOI (Net Operating Income) targets are met for each property through
effective revenue growth and expense management.
- Oversee rent collections and arrears management, ensuring proactive follow-up on
outstanding balances.
- Implement structured payment plans, legal escalations, and tenant outreach strategies
to minimize delinquencies.
- Review financial reports, variances, and forecasts to ensure portfolio profitability
and identify potential risks.
- Approve vendor contracts and oversee cost-effective procurement of services.
Leasing, Renewals & Tenant Relations:
- Collaborate with leasing teams to optimize occupancy levels, negotiate lease
renewals, and attract high-quality tenants.
- Direct and manage leasing brokers, ensuring alignment with asset and leasing
strategies.
- Supervise the coordination and execution of lease agreements, renewals, and tenant
retention strategies.
- Build strong tenant relationships, responding to concerns professionally and
ensuring high tenant satisfaction.
- Review and approve leasing proposals, tenant improvement plans, and incentive
structures to support leasing efforts.
Maintenance & Property Operations:
- Ensure properties are maintained at high operational standards, meeting health,
safety, and environmental regulations.
- Oversee maintenance teams and third-party contractors to ensure timely and
effective property repairs and improvements.
- Conduct regular property inspections to assess conditions, identify maintenance
needs, and address tenant concerns.
- Ensure proactive risk management, including security measures, emergency
preparedness, and insurance compliance.
Leadership & Team Management:
- Supervise, mentor, and provide leadership to on-site property managers,
administrators, and maintenance teams.
- Oversee performance management, training, and career development for assigned
staff.
- Foster a collaborative and results-driven work culture, ensuring operational
excellence and team engagement.
Qualifications
Education & Designations
Post-secondary degree or diploma in business, real estate, property management, engineering, finance, or a related discipline.
Industry designation required or actively in progress: RPA (BOMI), FMA (BOMI), CPM (IREM), or CSM (ICSC) for candidates with significant retail exposure.
Experience
- Minimum 5 years of progressive commercial property management experience, within industrial or commercial property management as Property Manager or Assistant Property Manager.
- Demonstrated experience managing third-party or owned/managed portfolios on behalf of institutional or private owners.
- Experience directly managing general contractors, trades, and design and engineering consultants on occupied commercial sites, including construction site-safety oversight under the Occupational Health and Safety Act.
- Direct experience delivering building envelope, roofing, structural/garage, mechanical and electrical, paving, and base-building or tenant-improvement construction is strongly preferred.
- Strong working knowledge of CAM/TMI reconciliations, net lease structures, and recoverable vs. non-recoverable expense treatment.
- Experience managing and developing a team of property management professionals.
Compensation:
- Annual base salary of $75,000 - $90,000
