Position Overview
Chow Tai Fook – Oakridge Park is seeking a highly organized and detail-oriented Administrative & Operations Coordinator to support the boutique’s back-office operations.
This position will serve as a key point of contact between the Oakridge Park management team, Chow Tai Fook brand representatives, vendors, contractors, and the company’s internal management team.
The successful candidate will be responsible for administrative coordination, documentation, reporting, communication, and operational follow-up. This is primarily a back-office position and is not a sales-focused role.
Key Responsibilities
- Act as the primary administrative contact between the boutique and Oakridge Park management
- Coordinate with Chow Tai Fook brand teams, regional offices, and internal management
- Follow up on requests, approvals, deadlines, inspections, maintenance matters, and operational requirements
- Prepare and organize daily, weekly, and monthly operational reports
- Draft and manage professional emails, notices, forms, and internal communications
- Maintain store documents, contracts, invoices, payment records, permits, and administrative files
- Coordinate with vendors, contractors, logistics companies, security teams, and service providers
- Support shipping, receiving, customs clearance, deliveries, and related documentation
- Assist with employee scheduling records, attendance records, payroll information, commission records, and staff documentation
- Maintain inventory movement records, product transfer records, receiving reports, returns, shortages, and related paperwork
- Track outstanding tasks and ensure timely follow-up with all relevant parties
- Prepare meeting notes, action lists, management updates, and supporting documents
- Assist management with store projects, events, inspections, audits, and operational initiatives
- Maintain confidentiality when handling employee, financial, operational, and company information
- Provide general administrative and operational support as assigned by management
Qualifications
- Previous experience in administration, office coordination, retail operations, property management coordination, or a related role
- Strong written and verbal communication skills
- Excellent organization, follow-up, and time-management abilities
- Strong attention to detail and accuracy
- Ability to manage multiple tasks, deadlines, and external contacts
- Proficiency in Microsoft Excel, Word, Outlook, and general office software
- Comfortable preparing reports, emails, spreadsheets, and administrative documents
- Professional and confident when communicating with landlords, brand representatives, vendors, and senior management
- Fluent English is required
- Mandarin and/or Cantonese is a strong asset
- Experience in luxury retail, jewellery, shopping centre operations, logistics, payroll administration, or inventory management is an asset
- Must be legally entitled to work in Canada

Work Environment
This is an on-site, back-office position based at Chow Tai Fook – Oakridge Park. Occasional support on the retail floor may be required during special events or busy periods, but the primary responsibility of the role is administrative and operational coordination.
Pay: $19.50-$25.76 per hour
