Overview
The Office Assistant (OA) Floater provides reception and administrative support to the Member Services Department and provides operational coverage for designated administrative positions across the organization. The duties and responsibilities are illustrative examples of the position and shall not be construed as a detailed description of all the work requirements that may be inherent in the job. The Office Assistant (OA) Floater will report directly to the Assistant Manager of Member Services and up to the President.
Duties
- Prepare, proofread, format, and update correspondence, reports, forms, spreadsheets, and other documents.
- Maintain accurate records within the IATSE Local 891 membership database.
- Answer, screen, and direct incoming telephone calls using a multi-line phone system.
- Greet members, visitors, and guests in a professional and courteous manner.
- Respond to inquiries and liaise with internal departments by telephone, email, and in person.
- Process incoming and outgoing mail, courier deliveries, and related correspondence. Process cash, debit, and credit card payments for membership dues, initiation fees, courses, merchandise, and other approved transactions.
- Maintain office supply inventories and reception materials.
- Scan, file, and maintain electronic and paper records.
- Provide administrative support to departments as assigned.
- Adapt quickly to changing priorities and provide seamless support across multiple departments.
- Maintain confidentiality and protect sensitive member and organizational information.
- Perform other related duties as assigned.
Requirements
- Proven office experience with strong computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Minimum of a Grade 12 education or equivalent
- At least one year of experience in an administrative, customer service, or office support role. Familiar with office equipment such as multi-line phone systems, printers, photocopiers, and scanners.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Ability to prepare professional correspondence, and communications with accuracy and attention to detail. Strong organizational, time-management, and prioritization skills.
- Excellent verbal and written communication skills.
- Demonstrated ability to muli-task, meet deadlines, and maintain accuracy in a fast-paced environment.
- Ability to handle confidential information with discretion and sound judgment.
- Ability to work independently while contributing effectively as part of a collaborative team.
- Experience with Zoom, SendBlaster, Digify, or similar meeting and document management platforms is an asset.
Testing/examinations may be administered to corroborate skills and qualifications. This is a Unifor bargaining unit position.
