We are Creative Outdoor Advertising, a North American street furniture advertising company selling advertising space on benches, recycling units, and bus shelters since 1983. We are looking for a Municipal Relations & Marketing Coordinator to join our growing team.
This role serves as the central coordinator “quarterback” for municipal relations, marketing communications, and pipeline management. You will support the Director of Municipal Relations while actively managing outreach and engagement with both current municipal partners and prospective municipalities. You will be responsible for driving communication flows and promotional messaging. At the same time, you’ll provide critical administrative and coordination support to ensure opportunities are tracked, followed up on, and executed effectively.
Compensation, Schedule, & Location:
This position offers a salary of $50,000 and working hours are Monday – Friday 8:30 am – 5:00 pm. This position will be hybrid working on-site at our offices in Gormley, Ontario, and as a work-from-home position working out of your home office.
Key Responsibilities
Primary - Municipal Pipeline & Business Development Support
- Manage and maintain a pipeline of current and prospective municipalities
- Track municipal opportunities, RFPs, and key deadlines
- Coordinate follow-ups with municipal contacts and internal stakeholders
- Review RFPs and prepare summaries, key insights, and action items
- Support proposal preparation and submission processes
- Ensure consistent progression of opportunities through the pipeline
Secondary - Marketing & Communications Quarterback
- Develop and execute email campaigns/blasts to municipal prospects highlighting; contract wins, new opportunities, company updates and offerings
- Coordinate and publish social media content promoting municipal wins, partnerships, and initiatives
- Ensure consistent, professional, and timely communication with municipal audiences
- Assist in drafting marketing materials, presentations, and outreach campaigns
- Collaborate with internal teams to gather content and ensure alignment of messaging
- Help maintain and improve communication strategies to increase engagement and response rates
Ongoing - Administrative & Coordination Support
- Manage calendars, meetings, and scheduling for municipal relations activities
- Prepare presentation decks, proposals, reports, and supporting materials, including printing and packaging
- Create meeting agendas, take minutes, then circulate & track related follow-ups
- Assist with municipal correspondence, emails, inquiries, and communications
- Maintain organized records, documentation, and project files
- Track timelines, deliverables, and action items across multiple initiatives
- Coordinate follow-ups with municipalities, vendors, and internal teams
- Conduct research and support data collection and reporting initiatives
- Ensure timely follow-up on outstanding tasks and deadlines
- Handle sensitive information with professionalism and confidentiality
Qualifications & Skills
- Bachelor’s degree in Marketing, Communications, Business, Public Administration, or a related field (required)
- Experience in marketing, communications, campaign execution, or business development support
- Experience with RFPs, proposals, or municipal/government environments is an asset
- Strong organizational skills with the ability to manage multiple priorities, projects, and pipelines
- Excellent written and verbal communication skills, with professionalism in external interactions
- Proficiency in Microsoft Office; experience with CRM systems, email marketing tools, or social platforms is an asset
- Strong presentation and content development skills (PowerPoint & Adobe Creative Suite)
- Resourceful and detail-oriented, with strong problem-solving abilities and sound judgment
- Ability to work independently in a fast-paced, deadline-driven environment while maintaining confidentiality
