Overview
We are seeking a detail-oriented and organized Part Time Office Administrator to join our team. This role is essential in maintaining smooth office operations, supporting team management, and ensuring effective communication across departments. The ideal candidate will have a strong background in administrative tasks, office management, and excellent communication skills. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform clerical duties such as filing, data entry, and document management using tools like QuickBooks and other bookkeeping software
- Assist with human resources functions including onboarding, employee records management, and training & development coordination
- Oversee vendor management and coordinate with external service providers to ensure office supplies and services are maintained
- Support payroll processing and basic budgeting tasks to help maintain financial accuracy
- Maintain organized records of office activities, manage scheduling, and ensure timely follow-up on administrative tasks
- Uphold phone etiquette standards when communicating with clients, vendors, and team members
- Supervise or assist with team management tasks as needed to foster a productive work environment
Experience
- Prior office experience or administrative experience is required; familiarity with bookkeeping, payroll, or human resources functions is a plus
- Supervising experience or team management skills are highly desirable
- Proficiency in QuickBooks, multi-line phone systems, and general office software (MS Office Suite) is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills—both verbal and written—are essential for success in this role
- Demonstrated ability to handle vendor relationships and manage multiple responsibilities simultaneously
- Experience in training & development or assisting with staff onboarding is advantageous
