We are seeking a highly organized and professional Administrative Assistant to provide essential administrative support to our client, a provincial crown corporation supporting projects across the province. The role is located in Halifax and is initially a four-month contract, with the potential to become a longer-term opportunity.
The successful candidate will be is responsible for a wide range of administrative and clerical duties, supporting staff operations, maintaining organized systems and records, and handling confidential information with discretion and professionalism.
Key Responsibilities for the Job:

Support daily administrative operations for the executive office

Answer and direct emails and other communications
-
Prepare, proofread, and distribute documents, reports, and correspondence

Maintain organized electronic and paper filing systems
-
Order office supplies and monitor inventory levels
-
Assist with data entry, record keeping, and database management
-
Support administrative HR functions, including filing and job postings
-
Coordinate catering, venue bookings, accommodations, and meeting logistics
-
Assist in organizing company meetings and presentations
-
Liaise with internal departments and external vendors as required

Exercise sound judgment and apply organizational policies appropriately in day-to-day operations
Experience & Attributes for Success:
-
Completion of post-secondary program (diploma, certificate or degree - ideally in Business Administration or other related field

1 – 2 years of hands-on experience in a similar administrative role is considered an asset

Bookkeeping training and/or experience is an asset
-
Strong computer skills, including proficiency with Microsoft Word, Excel, and presentation software

Working knowledge of office equipment such as photocopiers and printers
-
Excellent interpersonal and communication skills, including the ability to interact professionally with the public and handle inquiries or complaints appropriately

Ability to work independently and collaboratively in a fast-paced environment

Strong organizational, time management, and multitasking abilities

Positive, proactive attitude with strong initiative and professionalism
