How you will make a difference:
The Lease Administration Manager oversees the preparation, review, and management of all lease documentation across the company's retail store portfolio (100+). This role ensures accuracy, compliance, and consistency in lease agreements while mitigating legal and financial risk. Reporting to the VP Finance, the Manager serves as the subject matter expert on commercial lease terms, and reviews rent payments schedules and other documentation with the team to ensure all lease obligations are met.
What You’ll Do:
Duties and responsibilities include, but are not limited to, the following:
Lease Documentation Review & Management
- Review, abstract, and interpret lease agreements, amendments, renewals, and related legal documents for accuracy and completeness
- Ensure all lease terms are correctly captured in the lease management application
- Identify and flag discrepancies, missing clauses, or unfavorable terms for escalation
- Maintain standardized lease language, templates, and clause libraries across locations
- Track and manage critical dates including lease commencement, rent escalations, and expiration dates, and negotiate and complete extension agreements as directed
· Report on the progress of deals to senior management at regular leasing meetings
Financial Analysis & Cost Control
- Review and validate CAM reconciliations, and year-end adjustments
- Audit landlord billings for compliance with lease terms
- Process tenant improvement allowances and monitor collection
- Review and approve rent rolls used to support rent payments
- Oversee monthly rent payments and all required lease obligations
- Calculate percentage rents payable and CAP stores refund due
- Identify opportunities for cost recovery and savings
Cross-Functional Collaboration
- Partner with Legal, Finance, Construction, and Operations teams
- Serve as primary liaison with landlords, property managers, and external legal counsel on lease matters
- Support store openings, relocations, expansions, and closures from a lease documentation perspective
- Respond to audit inquiries from internal and external auditors
What You’ll Need:
· Post-secondary education in a related field
· 7–10 years of experience in commercial lease administration, preferably in a multi-unit retail environment
· Proven ability to interpret complex lease documents and communicate findings clearly
· Excellent analytical, organizational, and problem-solving skills
· Strong written and verbal communication skills
· Experience in conducting financial analysis (GROCs)
· Experience with Lawson an asset
· Proficient in Microsoft Office
· Strong negotiation skills
· High level computer literacy, advanced knowledge of Excel and Word
· Ability to work under pressure and tight timelines
· Demonstrated skills in corporate governance, policies and procedure
· Effective time management and organizational skills
· Detail-oriented with strong accuracy standards
· Ability to manage multiple priorities under tight deadlines
· Strategic thinker with sound judgment and decision-making
· Collaborative and proactive communicator
· Comfortable working independently in a fast-paced environment
