Position Description:
We currently have an opening for a Project Coordinator in our Prince Albert office. In this role you will support both the general project and administrative needs of the Prince Albert office, while also supporting specific Project Engineer & Project Manager staff to meet their project/client goals.
General Administration Duties:
- Prepare and complete communication mail-outs
- Schedule meetings and manage office calendars
- Schedule/oversee office overhead and support tasks
- Contact internal and external service providers
- Support computer/printer maintenance and service, in conjunction with IT
- Maintain office supply inventory, following appropriate financial procedures
- Complete bill payments, following appropriate financial procedures
- Coordinating office social and client functions, including sourcing catering
- Other administrative duties as may arise in support of the team
Project Administration Duties:
- Support Project Managers in coordinating project setup, and project budgets
- Coordinate invoicing, in support of Project Managers
- Support monthly project financial forecasting, in support of Project Managers
- Prepare project tender documents, specifications, and letters
- Assist with, and coordinate tasks for Tender Processes
- Review and prepare word processing on reports, letters and other documents
- Assist with proposal preparation
- Maintain a current knowledge of project technical specifications and implications • Responsible for project records management within the Prince Albert office
You have an eye for detail and provide excellent internal and external customer service in delivering administrative support services to the team. You will report to the Prince Albert Division Manager and be a part of a dynamic, high-performance team.

- Diploma or certificate in administration, business, or related field
- Relevant experience in administrative support role
- Experiencing in conducting front desk duties such greeting visitors, sorting mail, accepting calls, and thriving in a front-facing role
- Excellent planning and organizational skills
- Ability to manage multiple projects and execute work efficiently, sometimes under tight time constraints
- Highly effective written and verbal communication skills
- Ability to maintain confidential information
- Computer literacy (MS Word, Excel, PowerPoint, Outlook)
