Overview
We are seeking a highly organized and proactive Personal Assistant to support executive management with a variety of administrative and clerical tasks. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities efficiently. The ideal candidate will have prior office experience and proficiency with various software tools to ensure smooth daily operations and effective scheduling.
Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events
- Handle incoming calls via multi-line phone systems with professional phone etiquette
- Assist with data entry, filing, and document proofreading to ensure accuracy and organization
- Prepare correspondence, reports, and presentations utilizing Microsoft Office applications
- Coordinate travel arrangements and prepare itineraries as needed
- Perform bookkeeping tasks using QuickBooks, including invoicing and expense tracking
- Support front desk operations, greeting visitors and managing office supplies
- Utilize DocuSign for electronic signatures on documents
- Provide exceptional customer service in all interactions, ensuring client needs are met promptly and professionally
- Assist with administrative projects such as organizing files, managing email correspondence, and supporting special events
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks for bookkeeping and financial management
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and data entry accuracy
- Knowledge of office procedures including filing systems and front desk operations
- Exceptional customer service skills with professional phone etiquette
- Experience with multi-line phone systems and handling high-volume calls
- Attention to detail in proofreading documents for accuracy and clarity
- Familiarity with DocuSign for digital document signing processes
- Prior office or administrative experience is preferred but not required; strong organizational skills are essential
