Mechanical Project Coordinator

We’re seeking a Mechanical Project Coordinator to join our Commercial Projects team. This role
provides vital administrative, estimating, and organizational support to ensure our projects run
smoothly from pre-construction through close-out. The ideal candidate is detail-oriented, proactive,
and thrives in a fast-paced, team-focused environment.
Responsibilities include (but are not limited to):
- Support Project Managers in coordinating all aspects of commercial mechanical projects from
tender through completion.
- Assist with estimating activities, including take-offs, gathering supplier quotes, preparing bid
documentation, and organizing tender submissions.
- Track and update pricing, change orders, and scope adjustments throughout the project
lifecycle.
- Prepare and maintain project documentation, including schedules, budgets, purchase orders,
submittals, and RFIs.
- Coordinate procurement and material tracking to ensure timely delivery and cost accuracy.
- Maintain organized project files, drawings, and correspondence in both digital and physical
formats.
- Schedule and record project meetings, distribute minutes, and monitor follow-up actions.
- Support communication between clients, subcontractors, vendors, and internal departments.
- Collaborate with accounting and project management teams to support job costing, progress
billing, and reporting.
- Monitor project progress, identify potential scheduling or documentation issues, and assist in
resolving them.
- Provide general administrative and coordination support to the Commercial Projects
department as needed.
