Project Coordinator
Compensation: $65,000+ per year, based on experience and qualifications

As our business continues to grow, we are looking for an organized and motivated Project Coordinator to join our team.
Working directly alongside one of our Senior Project Managers, you will become an integral part of delivering commercial HVAC projects throughout British Columbia. As a trusted extension of the Project Manager, you will help coordinate projects from order through completion while building strong relationships with customers, vendors and internal teams.
This is a dedicated position supporting a single Project Manager and their portfolio of projects. You'll have the opportunity to become deeply involved in every stage of the project lifecycle while developing valuable experience within the commercial HVAC industry.
Job Description
The Project Coordinator provides day-to-day coordination and administrative support throughout all stages of commercial HVAC projects. Working closely with the Project Manager, you will help ensure projects remain organized, customers receive timely communication, and orders move efficiently from release through delivery.
As your knowledge of our products, systems and processes grows, you will continue to take on additional responsibilities and become an integral part of managing a diverse portfolio of commercial projects.
What You'll Be Doing
Responsibilities include, but are not limited to:
- Assist with customer order entry, product releases, vendor purchase orders and packing slips.
- Coordinate deliveries with customers, job sites, vendors and our warehouse to help keep projects on schedule.
- Monitor order status, production schedules and shipment ETAs while providing timely updates to customers and the Project Manager.
- Field project-related phone calls and customer inquiries, building strong relationships through professional and responsive communication.
- Assist with shop drawing and submittal preparation, revisions and product selections.
- Support change orders, quick pricing requests and project billing.
- Maintain organized project files, quotations, correspondence and documentation, ensuring information remains accurate and up to date.
- Follow up on outstanding items and assist in resolving day-to-day project issues.
- Coordinate with internal departments to help keep projects moving efficiently from order through completion.
- Provide project support and continuity during the Project Manager's absence while performing other project coordination duties as required.

Preferred qualifications include:
- Previous experience in project coordination, construction, customer service, sales support or commercial building products is considered an asset. We are equally interested in candidates who demonstrate strong communication skills, initiative and a willingness to learn.
- Experience in HVAC, mechanical contracting, plumbing, electrical, construction or industrial distribution is considered a strong asset.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to prioritize and manage multiple projects in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Outlook and Excel.
- Experience with ERP software (Microsoft Dynamics Business Central is an asset).
- Experience reviewing construction drawings, shop drawings or project documentation is considered an asset.
- A positive attitude, strong work ethic and willingness to learn.
