Position / Job Title: Office Administrator
Job Overview
As an Office Administrator you will be responsible for all communication with suppliers. This includes slab ordering, tracking slab deliveries, problem solving ordering issues.
You will also be responsible for material availability checks with suppliers and all other inquiries requested.
You will be responsible for creating jobs and scheduling them into the production calendar based on the parameters given to you.
You will help resolve fabrication material and scheduling issues as they arise throughout the day.
You will also be in contact with staff internally via email and phone all throughout the day, assisting them with any of their material or scheduling concerns.
You will also be responsible for inventory counts and management of inventory.
Responsibilities and Duties
- Represent QuartzCo as a leader in the Ontario stone installation and fabrication industry.
- Oversee and coordinate office administrative procedures and review, evaluate and implement new procedures
- Place orders with vendors in a timely manner to ensure material is received prior to being required
- Point of contact with Stone vendors to check inventory and shipping timelines
- You will also be scheduling all jobs onto the production calendar.
- Support the team in resolving material availability issues and fabrication scheduling issues and develop processes and policies to facilitate as required.
- Establish work priorities, ensure deadlines are met and procedures are followed
- Be point of contact for the Inside Sales team and input jobs into fabrication through Moraware.
- Making shipping files for shipping and receiving team and managing the shipping load on a day-to-day basis.
- Oversee operations of the whole team and ensure that everything is done in the most efficient ways.
- Work with Fabrication manager to improve production capacity and scheduling the production calendar.
- Performing inventory count and doing inventory control.
- Additional duties as required.
Qualifications:
- Diploma or Graduate Degree
- Tactful and diplomatic communicator able to exchange ideas and information with team members in a concise and logical way
- Proficiency in basic AutoCAD, Excel and CRM software
- Highly motivated, self-directed and customer service oriented
- Ability to work independently, as well as, in a team environment
- A go-getter with strong organizational, planning and time management skills
- A dynamic individual with strong influential skills to work expertly with vendors and employees in a fast-paced work environment
Job Types: Full-time, Permanent
Pay: $22.00-$28.00 per hour
