We are looking for a highly organized and detail-oriented Office Administrator / Operations Coordinator to join our busy distribution center. This role is ideal for someone who enjoys working in a fast-paced environment where no two days are the same. You'll play an important role in supporting our shipping, receiving, inventory, logistics, and customer service operations while working closely with our warehouse, sales, dispatch, and accounting teams.
Key Responsibilities
- Process customer orders and invoicing by preparing invoices, receiving documentation, returns, transfers, and other order-related transactions across multiple company divisions.
- Support inventory management by completing production runs, inventory adjustments, cycle counts, month-end inventory procedures, and maintaining accurate inventory records.
- Coordinate shipping activities by arranging courier shipments, reviewing transportation invoices, resolving discrepancies, and maintaining shipping documentation.
- Maintain accurate operational records through document management, filing, tracking reports, and ensuring completed Bills of Lading and supporting paperwork are properly processed.
- Provide administrative support to warehouse operations by printing pick tickets, labels, driver paperwork, booking appointments, assisting at the shipping window, and supporting daily operational needs.
- Maintain warehouse and system data by updating product locations, operational information, tracking damaged materials, and ensuring data accuracy within internal systems.
- Collaborate with operations, sales, warehouse, and logistics teams to ensure the efficient flow of information and provide support wherever required.
Qualifications
- Previous administrative experience in a warehouse, logistics, transportation, manufacturing, or distribution environment is considered a strong asset.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Comfortable managing multiple priorities in a fast-paced environment.
- Proficient with Microsoft Office, particularly Excel and Outlook.
- Experience with ERP, inventory management, transportation management, or warehouse management systems is an asset.
- Strong communication and problem-solving skills.
- Ability to work both independently and collaboratively within a team.
