Summary
We are seeking a highly organized and compassionate Administrative Assistant to join our team in Edmonton. Based in our local office, this role is vital in supporting our daily operations and ensuring smooth communication within our Adult Program. Your contribution will directly impact our mission to provide supportive environments for individuals with special needs.
Responsibilities:
Administrative Support:
· Provide day-to-day administrative support to leadership and/or teams
· Prepare, format, and edit documents, reports, and presentations
· Maintain organized filing systems (digital and physical)
· Handle confidential information with discretion
Communication:
· Serve as a first point of contact (phone, email, in-person)
· Draft and respond to routine correspondence
· Distribute internal communications and notices
· Liaise with staff, clients, families and other external stakeholders
Data Entry and Records Management:
· Maintain databases, employee records, and/or client files
· Enter and update data accurately in systems (internal tools)
· Generate basic reports and summaries, as needed
· Facilitating required archiving procedures
· Organizing materials and filing for the Adult Program Director, Activity Coordinator, and Learning Development Coordinator, including documents requiring work processing, editing, photocopying, scanning, and emailing of routine correspondence, memos, information packages, etc., as required
· Organizing and tracking of Client Relations Consents
· Support payroll data collection or timesheet tracking
General Office Support:
· Assist with various office tasks, such as ordering supplies, maintaining office equipment, and providing support to visitors.
· Support onboarding logistics (workspace setup, materials, documentation)
· Assist with maintaining office organization and workflow efficiency
Team Support:
Supporting emergency responses in accordance with Elves protocols.
Qualifications:
· High School Diploma
· Administrative Assistant Diploma or certificate is preferred
· Experience is a definite asset
· Strong Organizational Skills: manages multiple tasks and priorities effectively
· Attention to Detail: displays accuracy and thoroughness in all assigned tasks
· Proficient in Microsoft Office Suite: expertise in Word, Excel, PowerPoint, Access, and Outlook
· Excellent Communication Skills: both written and verbal communication skills are essential
· Time Management Skills: ability to prioritize tasks and meet deadlines
· Problem-Solving Skills: effectively identify and resolve issues/concerns
· Professionalism: ability to interact with colleagues, clients, families, and visitors in a professional manner
· Confidentiality: a Confidentiality Agreement will be required
· Adaptability: adjusts to changing priorities and work requirement

Pay: $20.00-$22.00 per hour
