Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our back-end office by managing administrative tasks, supervising staff, and maintaining effective communication with vendors and clients. This position requires strong organizational skills and the ability to multitask in a fast-paced environment.
Key Responsibilities
Bookkeeping and Administration
- Provide support in managing financial transactions using Sage 50 or Quickbooks
- Provide support in managing accounts receivable and payable.
- Provide support in bank statements reconciliation and assist with month-end reporting.
- Maintain accurate financial records and support tax preparation.
- Coordinate with internal and external accountants as needed.
- Perform clerical duties such as filing, data entry, and maintaining office supplies.
- Communicate effectively with team members, clients, and external partners.
Sales & Marketing Support
- Assist with quoting, invoicing, and tracking sales inquiries.
- Support marketing campaigns via email, website, and print material.
- Manage and update client CRM and job tracking systems.
- Create and schedule engaging content across social media platforms (Facebook, Instagram, etc.) to increase brand awareness.
- Track and analyze marketing performance metrics.
Customer Service
- Respond to customer inquiries via phone, email, and social media.
- Schedule service appointments and dispatch calls to field technicians
- Maintain professional and timely communication with customers.
- Ensure high customer satisfaction through excellent service and follow-up to obtain positive google review.
What We're Looking For
- Proven experience in an administrative role or office management is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Proven ability to manage customer service tasks and communicate professionally.
- Comfortable with sales support and basic marketing duties
- Flair for social media – able to create posts, stories, and updates that reflect our brand personality.
- Highly organized, self-motivated, and detail-oriented
- Experience in supervising staff is a plus.
- Familiarity with budgeting processes and vendor management is advantageous.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and other business tools
- Reliable internet connection and a dedicated remote workspace
Nice-to-Haves
- Familiarity with trades or service-based industries
- Experience with scheduling/dispatch software
- Basic graphic design or content creation skills
