The Hills Spa by SKIN Clinics is the sole dermatologist-led cosmetic office in the Westman area. Our design-forward boutique spa is located in a heritage building in Brandon and is a Skinceuticals flagship location.
The Hills Spa by SKIN Clinics is seeking a full time, highly organized and customer-focused individual to join our team as a Client Care Coordinator. You will play a crucial role in providing exceptional customer service and ensuring a smooth and pleasant experience for our valued clients. Your primary responsibility will be to facilitate the coordination of client appointments, inquiries, and support throughout their journey with us. This position requires a strong attention to detail, excellent communication skills, and a genuine passion for delivering outstanding client care.
Responsibilities:
- Greet and warmly welcome clients, providing a professional and friendly first impression.
- Coordinate client appointments, ensure accurate scheduling, and efficiently manage the clinic's appointment calendar.
- Respond promptly and professionally to client inquiries via phone, email, and in-person, providing accurate information and resolving concerns or issues effectively.
- Maintain client records and ensure confidentiality and accuracy of information.
- Collaborate with the clinical team to ensure a seamless and coordinated experience for clients, including coordinating pre and post-treatment instructions.
- Provide administrative support, including managing paperwork, data entry, and maintaining inventory of office supplies and products.
- Actively contribute to maintaining a clean and welcoming clinic environment.
Requirements:
- Previous experience working in an aesthetic clinic in a customer service or client-facing role is strongly preferred.
- Exceptional interpersonal and communication skills, with the ability to build rapport and provide a high level of customer service.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Proficiency in using computer systems, including scheduling software and Microsoft Office.
- Knowledge of the cosmetic medicine industry, dermatology and a strong interest in aesthetics is essential.
- Ability to maintain a professional demeanor in a fast-paced and dynamic environment.
- Some evenings or weekends might be required but the main hours are daytime shifts Monday to Friday.
