This position is an integral part of the company required to manage the overall day-to-day fleet operations; while collectively supporting the organization in achieving their business objectives. The ideal candidate will be driven, a team player, have a high level of enthusiasm, excellent customer service skills and the ability to learn quickly. They will have prior experience in fleet management, additionally a solid understanding of CVOR.
Duties & Responsibilities
Oversee the dispatch, maintenance and service of vehicle equipment including heavy trucks, light trucks, snow plough/salters
Repairing, testing, maintain commercial trucks and tractors.
Inspects, diagnose, troubleshoots heavy duty equipment.
Schedule and coordinate regular vehicle maintenance, inspections, and repairs to minimize downtime.
Track driver performance, provide training, and enforce safety guidelines to ensure compliance.
Develop strategies to reduce fuel costs, extend vehicle lifespan, and improve overall fleet efficiency.
Oversee maintenance planning, scheduling, and workforce allocation to meet operational demand and service levels.
Promote a strong safety culture, operational discipline, and accountability across all maintenance operations.
Fleet & CVOR
· Maintain all fleet maintenance records
· Responsible for keeping track of fleet mileage and recording of fuel purchases
· Retrieve, process and audit driver logs for completeness and accuracy
· Have one on one meetings / training sessions with drivers to review, explain inaccuracies/issues in the log entries
· Maintain logs of driver violations pertaining to hours of service via excel spreadsheet
· Follow progressive disciplinary action with HR department with non-compliant drivers
· Manage fleet documentation by ensuring all documentation is up to date relevant to the vehicles such as ownerships, plates, insurance documentation, expiry date, permits, licensing.
· Review, follow up and maintain files on infractions, claims, accidents, incidents, etc.
· Commercial Vehicle Operator Record (CVOR) Maintenance and Compliance
· Participate in full cycle driver safety meetings - brainstorming with the team, submitting information to be delivered to the drivers, presenting information, creating handouts, answering any inquiries.
· Work with and assist other departments to retrieve or relay information to fleet drivers
· Provide effective and accurate verbal and written communications between internal departments, service providers and third party vendors
· Manage and appropriately prioritize all email and mail correspondence, requests for information and other requests in a timely manner
· Perform other duties as required
Required Skills:
· Knowledge of CVOR laws and regulations
· Knowledge of office administrator responsibilities, systems and procedures
· Proficiency in Microsoft Office (i.e. Word, Excel, Outlook etc.)
· Excellent time management skills, ability to multi-task and prioritize work

Experience & Qualifications:
· Post-secondary education related to office or business administration
Mechanical certification 310T or 421A License required
· Minimum of 3-5 years’ progressive leadership experience in fleet maintenance, heavy-duty diesel, trucking, transportation, or equipment services
· Strong organization and administrative skill, including the ability to work independently with minimal direction
- Strong Mechanical aptitude, analysis and problem solving skills
-Proven ability to diagnose and solve complex mechanical issues
· Strong orientation to detail
· Strong technical expertise in heavy-duty diesel engines, preventative maintenance programs, diagnostics, inspections, and asset lifecycle management
· Extensive computer skills using MS Office
· Excellent communication skills with the ability to liaise with all levels of the organization
· Ability to adapt to changing priorities in a calm professional manner
· Sound understanding of maintenance/operations procedures
· Excellent attendance and safety record and a strong safety awareness
