Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for clients and visitors, manage administrative tasks efficiently, and support the smooth operation of our office. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office software. Experience in medical or dental office settings is a plus, but not mandatory. The position offers an engaging work environment where customer service and administrative expertise are highly valued.
Responsibilities
- Greet visitors and clients professionally, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry with accuracy into various databases and software such as QuickBooks and bookkeeping systems
- Handle incoming and outgoing correspondence, including filing, photocopying, and scanning documents
- Support front desk operations by managing patient or client check-in/check-out processes
- Maintain organized records and ensure confidentiality of sensitive information
- Assist with administrative tasks such as proofreading documents, managing office supplies, and supporting clerical functions
- Provide excellent customer support by addressing inquiries promptly and professionally
- Support medical or dental office operations by managing patient records and appointment scheduling as needed
Experience
- Prior clerical or administrative experience is preferred, especially in office environments such as medical or dental offices
- Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills are highly desirable
- Experience handling multi-line phone systems and front desk responsibilities is a plus
- Strong organizational skills with attention to detail in filing, proofreading, and record management
- Excellent customer service skills with professional phone etiquette
- Ability to work independently while managing multiple tasks efficiently
- Proven ability to handle confidential information discreetly
