SCOPE
Reporting to the Senior Director, Student Success and Retention, the incumbent manages the administration and physical space on a day-to-day basis, with support from the administrative coordinators. This includes recommending and managing departmental budgets, and overall administration. They are a member of the Senior Director’s management team working cross-functionally and cross-departmentally across Student Success and Experiential Learning/Co-operative Education departments. They act as a liaison with university departments and units, such as facilities, human resources, financial services, office of the registrar, and instructional and information technology services on a regular basis to enhance efficient communication and ensure the execution of management policies and practices.
PRIMARY RESPONSIBILITIES
• Manage and coordinate daily operations and completion of work amongst administrative and operations staff and support staff in the Student Success Centre and the Experiential Learning/Co-op Offices. Provide daily guidance, support and delegate work amongst team members. Manage all aspects of physical space, financials, administration and procurement processes.
• Manage and ensure accurate and timely delivery of all operational and administrative processes within the Co-op administrative/operational units; including posting internships, interview scheduling, internship offers, admission to the Institute, withdrawals, Institute course registration, student letters of support, graduation processes, grade entry, change of sequences, data entry, office coordination, new program development.
• Develop and nurture a strong understanding of Co-op admin and ops procedures and policies across the co-op department; act as the key resource to advise and support all stakeholders (including staff, Concordia departments, students, employers) on all matters related to operations and administrative responsibilities.
• Collaborate with IITS, University Communication Services (UCS) and Office of the Registrar to ensure stakeholders (Co-op staff, as well as students and employers as necessary) are adequately trained on all Co-op policies and procedures.
• Hire, train, schedule, assign work, vacations, and absences for support staff. Ensure consistent, accurate information is given to clientele and to the university community; create and maintain an atmosphere of exemplary customer service.
• Ensure that all technical systems related issues (eg. Libcal, Orbis/Compass database, CCMS, MS 365, etc.); are dealt with in conjunction with IITS, external vendors, operational partners, and all other technical collaborators. Work closely with vendors and Instructional and Information Technology Services to ensure that systems are functioning optimally. Responsible for hardware and general computer operations for all departmental units.
• Lead decision-making process on exceptional student and employer cases and issues in collaboration with managers and senior director, supporting the administrative and operations staff as well as other members of the Institute staff.
• Manage department budgets, donor funding, government funding, and prepare financial reports and forecasts. Work closely with Financial Services and budget analyst to ensure account reconciliation and reporting. Approve expenses and casuals’ payroll.
• Advise and assist unit managers and staff regarding university and departmental policies and procedures.
• Triage front desk, student and employer issues and complaints to Managers and Senior Director and respond when appropriate.
• Lead regular process reviews to optimize, increase efficiency, improve service delivery to students and employers.
• Manage and coordinate response to hazards in the workplace (such as floods, power outages, and gas leaks) and work in partnership with Concordia departments such as Facilities, Campus Safety and Prevention Services, and Environmental Health and Safety. Maintain the Department Emergency Preparedness Protocols (DEPP) for both departments. Enforce Concordia’s rules and regulations with regard to safety in the workplace.
• Manage physical facilities including recommendations of equipment purchases and replacements (including computer hardware), space, and office assignments across all units on both campuses.
• Advise in matters regarding policy and procedure changes, funding programs, programs of study in the Experiential Learning/ Co-operative Education.
• Organize, coordinate, and supervise major projects, relocation, space assignments and special events.
• Perform other duties as required by the Senior Director.
QUALIFICATIONS
• Bachelor’s degree in Business Administration or Human Resources, or in a field pertinent to the primary responsibilities and four to seven years of relevant experience, including at least two years of management experience.
• Strong fiscal and budget management skills.
• Experience in managing day-to-day administrative and operational duties.
• Experience influencing stakeholders outside of direct reporting relationships.
• Attention to detail and a keen ability to quickly understand, synthesize, and operationalize situations and requests from a variety of sources.
• Ability to multitask, prioritizing actions while maintaining a global view of multiple situations.
• Good knowledge (Level 4) of spoken and written English in order to communicate effectively with students, staff and faculty as well as to draft correspondence, documentation and reports; basic knowledge (Level 3) of spoken and written French.
• Excellent interpersonal and communication skills with the ability to deal sensitively, patiently and respectfully with individuals of diverse backgrounds and experiences.
• Proven team leader and team builder with the ability to foster a positive team culture and manage staff in a unionized environment.
• Excellent planning, organizational and problem-solving skills and the ability to set priorities under time constraints.
• Excellent ability to multi-task and work under pressure in a team environment.
• Good knowledge (intermediate level) of Word and Excel.
• Keen eye for details.
• Sensitivity to student concerns.
• Knowledge of university policies, procedures and Collective Agreements is an asset.
• Experience in managing a large department in a University environment is an asset.
• Knowledge of SAP Financial Systems, Student Information System (SIS), and Orbis is an asset.
• Experience with internship management, co-operative education and/or work-integrated learning is an asset.
• Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation) are desirable qualities.
