Executive Assistant

Position Summary:
Independent Living Waterloo Region is seeking an Executive Assistant who is committed to the highest quality of service for people in our community who experience disabilities. As a liaison between ILWR's Executive Director and the Board of Directors, the Executive Assistant is responsible for a wide variety of executive administrative duties in support of the organization’s activities. The successful applicant will be highly organized, self-motivated, possess strong communication, collaboration, and interpersonal skills, and will be capable of using sound judgement in problem solving and decision making.
Key Responsibilities:
- Support Executive Director's time management by prioritizing communications, scheduling meetings, delegating responsibilities, and resolving concerns
- Proactively determine Executive Director’s needs, and provide required research and information
- Coordinate necessary aspects of the Executive Director's responsibilities, including booking appointments, making travel arrangements, and informing stakeholders of scheduling constraints/ conflicts
- Manage attendees, agendas, meeting minutes, and logistics of Leadership and Administration meetings and events while anticipating needs, conflicts and solving scheduling issues
- Communicate on behalf of the Executive Director by providing the initial responses to employee/Consumer concerns and/or delegating tasks to members of the Leadership team
- Prepares correspondence on behalf of Executive Director including thank you notes, letters, memo, etc.
- Act as key liaison between the Board of Directors, Executive Director, and Senior Leadership team, helping them to deliver timely and effective materials to the Board and Committees.
- Provide additional administration support to the Board as requested (i.e. prepare documents, research, coordinate meetings)
- Manage Board Portal, posting relevant documents and updates
- Attendance to training and development as required
- Any other duties as may be described
Requirements:
- 3-5 years experience supporting senior executives
- Experience working with a Board or Directors
- Experience with event planning and execution
- College diploma in office/ business administration or equivalent education
- Exceptionally organized with a high attention to detail
- Superb written and oral communication skills
- Solid working knowledge of Microsoft Office (i.e. Word, Excel, Outlook, PowerPoint) and Adobe Acrobat
- Experience with Board Governance and meeting procedures
- Ability to develop strong relations with community partners
- Aptitude to differentiate when to act independently or involve team members
Job Details:
Status: Full-Time, Permanent
Hours: 40 hours/Week. Standard office hours, with some flexibility required.
Location: Kitchener, Ontario
Starting Wage: $24.88 per hour
