Office / Operations Manager – Manufacturing
Mill-Turn Machining Inc. is looking for a self-motivated, detail-oriented, and capable Office / Operations Manager to join our team full time.
We are a growing CNC machine shop serving commercial, industrial, and aerospace/defence customers. This position is best suited for someone with manufacturing experience who understands quoting, customer communication, purchasing, scheduling, job flow, and keeping the office side of a machine shop organized.
This is a full-time position, Monday to Friday.
This role is not just a basic administrative position. We are looking for someone who can take ownership of the office side of the business and support management in the daily operation and growth of the company.
Responsibilities include:
- Managing the day-to-day administrative operations of the office
- Answering phone calls, checking emails, and handling customer/supplier correspondence
- Communicating with customers regarding RFQs, orders, timelines, deliveries, and general updates
- Reviewing RFQs and assisting with quoting manufacturing jobs
- Preparing, sending, and following up on quotes
- Supporting sales efforts and helping maintain customer relationships
- Managing and updating CRM/customer records
- Tracking leads, opportunities, quotes, and customer follow-ups
- Entering purchase orders, creating packing slips, invoices, and related documentation
- Assisting with job setup, job tracking, and production paperwork
- Calculating and ordering material for jobs
- Coordinating with vendors, customers, couriers, and internal staff
- Scheduling couriers and organizing shipments
- Packaging machined parts, preparing pallets, and assisting with shipping as needed
- Maintaining filing systems and keeping records organized
- Supporting ISO9001/AS9100 documentation and general quality system requirements
- Helping ensure office processes are followed and improved where needed
- Supporting management with administrative, purchasing, quoting, sales, CRM, and production-related tasks
- Taking ownership of delegated responsibilities and helping reduce the day-to-day workload of company management
Qualifications:
- Manufacturing experience is required
- Experience in a machine shop, CNC, metal fabrication, or industrial manufacturing environment is strongly preferred
- Quoting experience in manufacturing would be a strong asset
- Sales, customer service, or account management experience would be an asset
- CRM experience or willingness to maintain a structured customer follow-up system
- Strong understanding of job flow, purchasing, materials, lead times, and customer communication in a manufacturing environment
- Excellent communication and organizational skills
- Strong attention to detail — very important
- Ability to prioritize, multitask, and take ownership of responsibilities
- Ability to work independently and make sound decisions
- Proficient with Microsoft Office
- Experience with E2 Shoptech, JobBOSS, or similar ERP software would be an asset
- ISO9001 or AS9100 knowledge would be an asset
- Must be willing to get hands dirty and assist with packing parts/pallets when needed
- Must be dependable, professional, and comfortable taking initiative
