Overview
We are seeking a highly organized and proactive Office Administrator/Supervisor to oversee daily office operations and support team management. This role is vital in ensuring the smooth functioning of administrative processes, maintaining effective communication, and supervising staff to meet organizational goals. The ideal candidate will possess strong leadership abilities, excellent communication skills, and extensive office experience to foster a productive work environment.
Duties
- Supervise and coordinate daily office activities, ensuring efficiency and productivity
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Oversee human resources functions such as onboarding, training & development, and employee relations
- Handle payroll processing using QuickBooks or similar accounting software
- Maintain accurate bookkeeping records and perform regular filing of documents for easy retrieval
- Manage vendor relationships, including vendor management and procurement processes
- Oversee office supplies inventory and coordinate with vendors for timely delivery
- Assist with budgeting, expense tracking, and financial reporting tasks
- Ensure adherence to company policies regarding phone etiquette, confidentiality, and organizational procedures
- Provide training to new staff members and support ongoing team development initiatives
Qualifications
- Proven supervising experience in an office or administrative setting
- Strong proficiency in QuickBooks, bookkeeping, payroll processing, and office management software
- Extensive office experience with clerical duties such as filing, data entry, and document management
- Excellent communication skills—both verbal and written—with a professional phone etiquette
- Exceptional organizational skills with the ability to manage multiple priorities effectively
- Demonstrated team management capabilities with a focus on training & development
- Experience with vendor management and multi-line phone systems preferred
- Ability to handle human resources responsibilities including onboarding and employee relations
- Strong problem-solving skills with attention to detail in budgeting and administrative tasks
