The Field Support Representative is responsible for supporting the daily operations of one or more Managed Services locations, including any or all of the following: copy, print and scanning production and finishing work, operation of a mail and courier centre, and maintaining billing logs and reports.
The position supports the region's Managed Services during implementation and fills in for absences and vacations throughout Ricoh Managed Services locations.
This role is responsible for supporting operational objectives at all existing customer sites within a geographic territory. Please note that this position will have occasional travel between Edmonton and Stony Plain.
Field Support Representative Responsibilities
- Maintains accurate, complete, and up-to-date Site Procedure Guides, forms, and logs
- Performs receptionist duties as required
- Collects data for the completion of the monthly management report as directed by the Site Manager/Supervisor
- Orders paper, toner, and other office supplies
- Assists the Site Manager or Supervisor by offering suggestions for improvements to new or existing processes and procedures
- Assists in the training of new and existing employees
- Reports to and works at various Managed Services client locations within a geographic territory based on business needs and scheduling requirements
- Performs other duties as assigned by the Manager
In the absence of onsite personnel, may perform any of the following duties: Mail
- Processes all incoming and outgoing mail
- Performs mailroom functions such as mail fulfillment, including sorting, filing, packaging, and processing shipments for delivery to multiple locations
- Files and labels documents and other materials for storage and retrieval
- Handles shipping and receiving, including moving boxes and/or equipment
- Provides courier services for the pickup and delivery of mail and copy jobs, on campus and offsite
Copy
- Assists in the Copy Centre and performs all functions required for the delivery and completion of copy requests (including binding, folders, laminating, etc.)
- Performs scanning and indexing of client documents
- Conducts basic troubleshooting (e.g., paper jams) on all equipment used within the Ricoh Centre
General
- Performs front desk receptionist duties
- Assists in coordinating work assignments to meet deadlines and service deliverables
- Manages all aspects of the Ricoh Centre in the absence of the Site Manager/Supervisor
Qualifications
- High School Diploma or equivalent work experience
- Minimum of 1 year of experience working in a mailroom, copy centre, or customer service environment
Skills
- Experience using photocopiers, scanners, printers, hole punchers, bindery equipment, electric staplers, scales, collators, and related equipment
- Excellent interpersonal skills with the ability to quickly develop business relationships
- Demonstrated ability to multitask
- Strong self-motivation and ability to drive results
- Excellent verbal and written communication skills
- Basic knowledge of Microsoft Office 365 applications
- Ability to consistently present a professional image to customers and vendors
- Ability to lift up to 50 lbs as required
