About the Role
As the first point of contact for our clinic, you will play a vital role in creating a positive and welcoming experience for every patient. You will be responsible for managing front desk operations, coordinating appointments, handling billing and insurance processes, and supporting the clinical team to ensure smooth day-to-day operations.

Key ResponsibilitiesPatient Experience & Front Desk Operations
Welcome patients and visitors with warmth, professionalism, and enthusiasm
Create a positive first impression and maintain a friendly clinic atmosphere
Schedule, confirm, and coordinate patient appointments efficiently
Answer incoming phone calls and respond to inquiries professionally
Assist patients with check-in and check-out procedures
Maintain excellent patient relationships and provide exceptional customer service
Maintain clinic cleanliness
Administrative & Billing Responsibilities
Maintain accurate and confidential patient records
Verify insurance coverage and process insurance claims
Handle billing, payments, receipts, and account inquiries
Prepare and send appointment reminders and patient communications
Manage clinic correspondence and documentation
Order and maintain office and clinic supplies
Customer Service & Team Support
Assist patients with questions regarding services and procedures
Resolve concerns and complaints professionally and effectively
Gather patient feedback and contribute to service improvements
Collaborate closely with healthcare practitioners and clinic staff
Maintain a clean, organized, and welcoming reception area
Technology & Operations
Knowledge of HCAI, WSIB, IFHP, & EHC billings
Utilize clinic management software for scheduling, billing, and patient records
Support operational efficiency through strong organizational skills
Assist with onboarding and training new administrative team members as required
Ensure compliance with clinic policies, privacy regulations, and professional standards

Preferred Qualifications
Previous experience in a healthcare, physiotherapy, chiropractic, medical, dental, or wellness clinic setting
Experience with insurance billing and patient scheduling
Bachelor's degree in any Medical or Healthcare feild is considered an asset

Compensation
Pay: $17.60 – $22.00 per hour
Expected Hours: 30 – 35 hours per week
Schedule
Monday to Friday
Occasional evenings as required
Weekends as needed
Location
Etobicoke, Ontario (M9V 1A7)
