Job Summary
We are seeking a detail-oriented and reliable Assistant Property Manager to support the lead property manager in the day-to-day administration of a residential rental portfolio in Ontario. This is an in-office, part-time position focused on executing assigned tasks, following up on outstanding items, responding to tenant inquiries, and keeping the administrative side of the business running smoothly. The lead property manager handles strategy, leasing, and property-level decisions — your role is to execute the recurring administrative work that keeps everything on track.
Responsibilities
- Execute tasks assigned by the lead property manager and follow up to completion
- Respond to tenant inquiries by phone and email in a professional, timely manner
- Follow up on outstanding rent payments, missing documentation, and pending tenant matters
- Reconcile monthly rent rolls and flag discrepancies for review
- Issue annual rent increase notices (N1) in accordance with Ontario guidelines
- Update tenant information, rent payments, and service requests in Rent Café
- Draft and send routine landlord-tenant correspondence
- Maintain accurate digital records for each property, tenant, and lease
- Track and follow up on open items so nothing falls through the cracks
- Provide consistent administrative support to ensure the lead property manager can focus on higher-level work
Requirements
- Rent Café experience is required — please do not apply without it
- Previous experience in property management administration
- Strong written and verbal communication, including professional phone etiquette
- Excellent follow-up skills and ability to manage multiple open items simultaneously
- Detail-oriented with strong accuracy in data entry and recordkeeping
- Comfortable in Microsoft Excel (rent rolls, formulas, formatting)
- Discreet and trustworthy with sensitive financial and tenant information
- Able to work independently, take direction well, and follow through without being chased
- Available during regular business hours for tenant phone calls and email correspondence
Assets (Not Required)
- Familiarity with Ontario's Residential Tenancies Act (RTA) and Landlord and Tenant Board (LTB) processes
- Experience with N-forms (N1, N4, etc.)
- Bookkeeping or accounting background
What This Role Is Not
- This is not a leasing or sales role — the lead property manager handles tenant acquisition
- This is not a property inspection or in-person tenant role — work is office-based
- This is not a personal assistant role — duties are limited to property administration
Pay: $25.00-$28.00 per hour
