Legends Global has an immediate opening at Canada Games Park for a Facility Scheduling and Administrative Coordinator. Reporting to the Facility Operations Manager, this position oversees all daily sign-in and administrative duties consistent with Legends Global at Canada Games Park regulations.
Summary
The Facility Scheduling and Administrative Coordinator is responsible for providing a safe and friendly experience for all guests. This role will occupy the front desk, responding to incoming calls, greeting guests, and answering inquiries.
Essential Duties and Responsibilities
- Operate front desk in a courteous, professional manner,
- Ability to administer building booking software and other systems related to operations,
- Knowledge of customer service processes and how they impact business operations.
- Respond to all incoming phone calls and emails,
- Maintain office inventories,
- Handle various high level administrative tasks including SOP’s, memos, as well as Operations administration,
- Supports employee scheduling and payroll administration duties,
- Utilize established metrics and tracking tools to monitor CGP program engagement, program budgets and quality of programs and reports on effectiveness and program usage.
- Establish and maintain effective working relationships with all internal and external stakeholders.
- In conjunction with other departments, ensures all event requirements have been implemented according to quality standards.
- Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
- Maintaining close contact with clients and facility staff to ensure successful events, resolving any issues
- Knowledge of sporting event venues, logistics and equipment considered an asset,
- Other duties as assigned
Education, Skills and Abilities
- Secondary school graduate,
- Previous clerical, administrative experience considered an asset,
- Highly organized with the ability to multitask,
- Professional presentation, appearance and work ethic
- Adaptability, able to adapt to changes in the workplace,
- Ability to work independently and with a team.
- Ability to work as part of a shift rotation including days, afternoons, evenings, holidays and weekends.
