Position Summary:
We are seeking a Project/Bid Administrator to join our team on a temporary 6-month contract. This role is ideal for a detail-oriented and organized professional who will support the full bid lifecycle, project documentation, and administrative coordination for our institutional and commercial construction projects.
Key Responsibilities:
- Oversee the full bid lifecycle, from initial tender document review through coordination and final submission.
- Review and interpret tender packages, contracts, drawings, and project specifications.
- Compile, organize, and submit bid packages in accordance with client requirements and deadlines.
- Coordinate with engineering, operations, procurement, and project teams to gather required bid information.
- Review and evaluate subcontractor and vendor quotations for competitiveness, accuracy, and compliance.
- Track and manage active bids through online tendering platforms and internal systems.
- Draft, review, and refine proposal documentation to ensure clarity, completeness, and compliance.
- Conduct market research to support competitive pricing strategies and bid preparation.
- Attend site visits as required to develop a working understanding of project scope and conditions.
- Develop and maintain working relationships with subcontractors, vendors, and clients.
- Support project administration through document control, file management, and coordination of project-related documentation.
- Provide general administrative support for bidding, estimating, and project coordination.
- Other duties as required.
Qualifications:
- 2–4 years of experience in construction administration, bid coordination, or project administration, preferably in ICI construction.
- Strong understanding of tendering processes, construction contracts, drawings, and specifications.
- Experience with online tendering platforms and bid submission systems.
- Strong organizational skills with the ability to manage multiple deadlines and priorities.
- Excellent written and verbal communication skills.
- High attention to detail and strong document management capabilities.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with construction management software is an asset.
- Ability to work independently and collaboratively in a fast-paced environment.
- Valid G driver’s license and reliable transportation considered an asset for occasional site visits.
