Our client is a trusted logistics partner delivering tailored solutions across industries, serving parts of Ontario and Quebec. They are seeking a driven Operations Manager to join their team on-site in Ottawa, Ontario.
This is a high-impact leadership role overseeing end-to-end operations across both trucking freight and on-demand courier services. As Operations Manager, you will be responsible for the day-to-day management of scheduled and on-demand trucking operations, leading a mix of independent contractor and employed drivers, while also ensuring efficient, reliable execution of courier services.
Some of your key responsibilities in this role will include:
Driver / Vehicle Capacity
- Ensure appropriate staffing levels to meet daily on-demand and scheduled customer requirements, including workforce readiness for peak periods, with all drivers properly onboarded and trained
- Support the development and oversight of a standardized onboarding and training program for all truck drivers (independent contractors and employees)
- Maintain visibility into daily attendance and availability to support scheduling needs, while proactively identifying upcoming absences requiring temporary or permanent coverage
- Ensure the courier board is sufficiently staffed to meet demand, with processes in place to recruit and onboard new courier independent contractors, while maintaining an active pipeline of drivers and vehicles
- Manage vacation scheduling for employee drivers
Driver Scheduling
- Dispatch orders with a focus on delivering exceptional customer service while ensuring fair and equitable distribution of work among contractors
- Manage consistent driver assignments for dedicated customers, particularly those with specific requirements or training needs
- Proactively engage with dedicated customers to confirm next-day service requirements
- Conduct end-of-day reviews and finalize scheduling for the following day
- Develop and utilize customer SOPs, where applicable, to support driver management for specific contracts or jobs
Quoting / Pricing
- Review and respond to service quote requests in a timely and accurate manner
- Reconcile previous day calls to ensure all jobs are properly priced by reviewing completed driver activity and associated email requests
- Apply appropriate pricing adjustments, including discounts or account-specific rates, where required
- Ensure accurate application of fuel surcharges and accessorial charges
- Review and validate pricing for small board jobs
Dispatch
- Manage the dispatching of jobs to both independent contractor and employee drivers, including larger fleet vehicles
- Provide daily oversight of active shipments, ensuring consistent communication with customers from transit through delivery and proof of delivery (POD)
- Communicate service updates or issues requiring customer approval, either directly or in coordination with Customer Service Representatives (CSRs), across both freight and courier operations
- Arrange for timely return and distribution of PODs to customers
- Oversee small board dispatch and customer service processes to ensure adherence to procedures, service levels, on-time performance, and fair call distribution, including settlement reviews
Truck Compliance / Maintenance
- Maintain preventative maintenance schedules and vehicle records using Samsara software
- Oversee all reporting requirements for owned and rental vehicles, including driver logs/e-logs, mileage tracking, fuel reporting, and IFTA compliance
- Track and maintain records of vehicle maintenance, including repairs and associated costs, while monitoring utilization, mileage, and overall lifecycle analysis
- Coordinate truck washing on an as-needed basis
Driver Management
- Report driver-related issues and incidents to senior management in a timely manner
- Collect and manage all required documentation for accident reporting, claims, and driver-related investigations
- Ensure all required driver clearances and certifications are current and in good standing
- Monitor driver hours of service to ensure full regulatory compliance
Communication
- Maintain clear and effective communication across warehouse operations, dispatch teams, customer service, and customers
Other Responsibilities
- Oversee daily early departures
- Manage after-hours coverage, including schedules
- Provide updates related to storage orders for clients
- Coordinate security clearances for vehicles requiring access to Parliament Hill
- Ensure all driver certifications (including Dangerous Goods and other compliance requirements) are current and valid
Qualifications:
- 3+ years of experience in transportation, logistics, or freight/courier operations, with exposure to trucking and/or on-demand delivery environments
- Experience supporting or managing dispatch, driver scheduling, and fleet operations across both employee drivers and independent contractors
- Working knowledge of transportation regulations, including hours of service, safety compliance, and reporting requirements (e.g., logs/e-logs, IFTA)
- Familiarity with fleet maintenance tracking, compliance programs, and operational reporting (experience with systems such as Samsara and Courier Complete is an asset)
- Ability to operate effectively in a high-volume, time-sensitive environment while maintaining service levels and customer satisfaction
- Experience with pricing and quoting, including applying fuel surcharges and accessorial charges, is an asset
- Demonstrated ability to support driver management, including handling day-to-day issues, incident reporting, and performance oversight
- Experience supporting driver recruitment, onboarding, and training processes for both independent contractors and employees
- Strong organizational skills and attention to detail, with the ability to manage competing priorities in a fast-paced environment
- Effective communication skills, with the ability to coordinate across operations, customer service teams, and clients
- Proficiency with dispatch, routing, or transportation systems, as well as Microsoft Office tools
