Position Overview
The Administrative Assistant supports the day-to-day administration of training programs, coordinating course schedules, registrations, member records, certifications, attendance, invoicing, and providing support to members, contractors, school boards, and instructors. The ideal candidate is organized, detail-oriented, adaptable, and able to manage multiple priorities while providing professional and helpful service. The role requires someone who can remain organized, accurate, and professional while adapting to changing priorities. *Bilingualism in French and English is an asset*
Key Responsibilities
- Schedule courses and finalize the course calendar.
- Processrequests/registrations and verify eligibility.
- Maintain accurate attendance, certification, and apprenticeship records.
- Monitor certification expiry dates and follow up as required.
- Run and prepare reports as needed
- Communicate with outside organizations regarding scheduling and billing matters.
- Maintain records of invoices, payments, and outstanding balances.
- Respond to inquiries by phone, email, and in person.
- Assist with day-to-day operations.

Qualifications & Skills
· Post-secondary education in Office Administration, Business Management or a related field is an asset.
· Previous administrative, office, or customer service experience, preferably in education or training, is an asset.
· Strong organizational and time-management skills with excellent attention to detail.
· The ability to work independently and prioritize multiple requests and competing deadlines.
· Proficiency in Microsoft Office and the ability to learn and navigate multiple computer systems.
