Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office and client managment. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. This role is essential in maintaining smooth daily functions, managing correspondence, and providing exceptional customer service to clients and staff alike.
Duties
- Manage front desk responsibilities, including greeting clients, answering and returning calls with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Outlook, Teams, and Salesforce.
- Handle filing systems, document proofreading, and general administrative tasks to ensure organizational efficiency
- Support bookkeeping activities and assist with basic bookkeeping using QuickBooks or similar software
- Provide customer support via phone, email, or in person, addressing inquiries promptly and professionally
- Assist with scheduling appointments, managing calendars, and coordinating meetings
- Perform clerical duties such as copying, scanning, and organizing documents as needed
Requirements
- Proven experience in an administrative or clerical role or certification from a recognized administrative program with experience working in a fast paced public setting.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Teams
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail for proofreading and data entry tasks
- Effective communication skills including professional phone etiquette and customer service experience
- Ability to handle multiple tasks efficiently in a sensitive and confidential environment
- Previous experience with front desk operations and multi-line phone systems is desirable
- High school diploma or equivalent; additional administrative training and or certification is required.
