Summary
We are looking for a positive, organized, and people oriented Public Relations / Business Assistant to support our external communication, business coordination, and daily office operations. This role is a great fit for someone who enjoys meeting people, building relationships, coordinating details, and keeping things running smoothly behind the scenes.
This is a junior to intermediate role, ideal for someone with a business, real estate, marketing, customer service, retail, banking, or property related background who is ready to grow into a more business facing position.
Responsibilities
- Act as one of the company’s contact points for external communication with property management companies, strata management companies, real estate professionals, consultants, vendors, suppliers, sales representatives, and other business partners.
- Support the company’s partnership development efforts, including identifying potential contacts, preparing outreach materials, sending follow up emails, and keeping communication records updated.
- Use good judgment to identify urgent issues, sensitive matters, potential risks, or business opportunities, and escalate them to the appropriate person when needed.
- Help prepare meeting materials, company introductions, presentation drafts, service summaries, contact lists, and follow up notes.
- Assist management with preparing for client meetings, business presentations, partnership discussions, and networking events.
- Attend selected business events, trade shows, networking activities, client meetings, or community events to support the company’s external presence.
- Help collect basic market information, competitor information, event information, and potential business leads for internal review.
- Greet visitors, clients, vendors, couriers, and guests, and maintain a clean and organized front desk and meeting area.
- Order and manage office supplies, kitchen supplies, mail, courier deliveries, and general office correspondence.
- Assist with company property tracking, including equipment registration, sign in and sign out records, inventory updates, and basic administrative records.
Qualifications
- Diploma or degree in Business, Marketing, Communications, Real Estate, Hospitality, Property Management, or a related field is preferred.
- 2 to 3 years of experience in customer service, retail, banking, real estate, property management, marketing, business administration, or another client facing role is preferred.
- Excellent verbal and written communication skills.
- Conversational Mandarin is an asset.
- Strong interpersonal skills and the ability to build professional relationships with different types of people.
- Highly organized with excellent multitasking skills and attention to details.
- Proficiency in Microsoft Office Suite and social media platforms.
- Prior experience in construction or real estate industry is advantageous.

You do not need to be a hard selling salesperson. What matters more is that you can communicate clearly, ask thoughtful questions, understand the key points of a conversation, and follow up in a timely and organized manner.
You are detail oriented and reliable, with a good sense of priorities. When issues come up, you are able to stay calm, gather the right information, and bring important matters to the team’s attention when needed.
You are positive, open minded, and proactive. You are comfortable supporting both external communication and basic office coordination, and you enjoy being part of a growing team where you can learn, contribute, and take on more responsibility over time.
Pay: $43,000.00-$50,000.00 per year
