Location:
402 Bloomington Road, Aurora; 11225 Leslie Street, Richmond Hill and other Agency sites as required. This position will require travel within York Region.
Hours of Work:
Thirty-five (35) hours/week.

Reporting to the Chief Executive Officer, the Manager of Operations is responsible for overseeing, developing, coordinating and implementing activities related to facilities, front office administration and health and safety. This role is vital in supporting daily operations, ensuring resources are utilized efficiently, operational projects are communicated effectively and fostering a positive workplace culture. As a leader, this position will uphold the Agency’s Mission, Vision and Values, incorporating the Internal Responsibility System to sustain a positive health and safety environment.

Supports in leading and promoting the Mission, Vision and Values statements, ensuring operational and service policies and procedures are adhered to with ethical conduct.

Models an in-depth understanding of ethical behaviour and professional business conduct, ensuring ethical standards throughout the Agency are consistent and aligned with quality improvement standards.

Provides supervision and direction to the front office administrative staff and maintenance staff, ensuring supportive and effective administrative duties are in place to support agency operations.

Provides problem-solving and conflict resolution support for various administrative challenges.

Ensures effective procurement processes are in place to acquire office and building resources within financial parameters.

Collaborates with the leadership team to organize and coordinate service contracts and vendor contracts related to facilities and administration.

Supports the coordination and maintenance of the quality management system, aligning internal policies with regulatory, licensing and accreditation standards.

Ensures all relevant memberships, licenses, background checks and certifications are up to date.

Builds and maintains relationships with colleagues focused on individual, team and organization success.

Performs work in a safe manner and adheres to the established health and safety measures of the organization.

Completes regular supervision, probationary and annual performance appraisals within defined timelines.

Approves time sheets, authorize vacation requests and monitor attendance.

Recruits and on-board new hires, including reviewing and revising job descriptions.

Approves financial expenditures within established parameters.

Communicates organizational and program goals to the team and ensures individual goals are tied to the achievement of broader objectives.

Attends and participates in training and meetings as required.
Health and Safety Responsibilities
-
Acts as the designated internal Health and Safety lead, developing and implementing the health and safety program in accordance with the Occupational Health and Safety Act and relevant legislation, ensuring policies and procedures are current and effective.

Actively partners with the Joint Health and Safety Committee(s) to review and maintain the health and safety program, including scheduling meetings, conducting workplace inspections, and participating in the workplace refusal process.

Promotes, enforces and maintains a safe and healthy work environment, utilizing principles from the Internal Responsibility System.

Reviews and maintains all health and safety policies and procedures, staying abreast of changes to the Occupational Health and Safety Act.

Collaboratively works with leadership and Joint Health and Safety to conduct health and safety risk assessments when required.
-
Acts as a primary point of contact for all health and safety matters, providing guidance and instructions to staff as needed.

Works collaboratively with Human Resources to ensure occupational injuries and illness are reported in a timely manner to the WSIB.

Communicates new health and safety policies and procedures, including the presence of unusual work situations and workplace hazards.

Coordinates the development of training programs as it pertains to health and safety, including sourcing reputable training vendors.

Provides Health and Safety Orientation to all new staff and placement students.

Conducts monthly Health and Safety Inspections of the Aurora and Leslie Street sites, including annual Health and Safety Inspections of community locations.

Supports the application of ergonomic assessments and staff education.

Gathers and monitors relevant health and safety statistical data.
Property Management Responsibilities
-
Ensures service level agreements are in place with contractors, insurance, leasing agencies, etc. and meets all procurement and other regulatory requirements.

Works in consultation with the Director of Corporate Services to ensure expenses remain within budgetary limits.

Conducts facility checks, with maintenance staff and contractors, to ensure the maintenance of property and facilities, including prioritizing staff and client safety.

Coordinates and prioritizes facility and property management and maintenance projects.
-
Supports in the communication and implementation of the Integrated Accessibility Standards, under the Accessibility for Ontarians with Disabilities Act, 2005. This includes communicating the disruption of accessible facility equipment and services.

Builds professional rapport with municipal partners to effectively coordinate facility projects, in accordance with by-laws and requirements of the Heritage Committee.

Performs other duties as assigned.
WHAT WE ARE LOOKING FOR:

Completion of a post-secondary diploma or degree in a related discipline such as Office Administration, Business Administration, Property Management and/or a combination of relevant education and experience.

Minimum of five (5) years of related experience.

Minimum one (1) year of staff supervisory experience is considered an asset.

Holder of a Joint Health and Safety Committee Certification.
-
Foundational knowledge of relevant legislation, such as the Employment Standards Act, Occupational Health and Safety Act, Accessibility for Ontarians with Disability Act and other applicable legislation.

Excellent interpersonal, verbal and written communication skills, including editing skills with attention to detail.

Experience in policy development, problem-solving, conflict resolution, and risk management best practice.

Competence in modelling professionalism and maintaining a high level of confidentiality.

Ability to effectively build trust, rapport and foster collaboration with the Chief Executive Officer, staff and external vendors.

Demonstrates the ability to work under pressure on time sensitive projects and workplace situations involving multiple moving parts.

Functional technological skills (e.g., Office 365, MS Office, SharePoint, software applications).

Awareness and appreciation for the dynamics of equity issues (diversity, equity and inclusion) especially as it relates to gender, ethnicity, race, and economic status.

Identification with the strategic mission, vision and values of the organization including inclusion, collaboration, people-centered, knowledgeable and courageous.

Driver’s license and clear driver’s abstract, including proof of automobile insurance.

Must possess a satisfactory Police Record Check.
