Executive Assistant & Client Care Coordinator to Team Leader

Full-Time | Monday–Friday | 9:00 a.m. – 5:00 p.m.

One of New Brunswick's top-producing REALTORS® is looking for an exceptional Executive Assistant & Client Care Coordinator to become an integral part of a growing business.
This is not an entry-level administrative position. We are looking for someone who is organized, energetic and professional. Someone who sees what needs to be done before they're asked, takes ownership of their work and genuinely enjoys creating outstanding experiences for clients.
You'll become the right hand to a busy Team Leader, helping manage the day-to-day operations of a successful real estate business while building strong relationships with clients, business partners and our team.
What You'll DoClient Care
- Deliver exceptional customer service to buyers and sellers from the beginning of their real estate journey through closing.
- Schedule property showings and follow up to obtain showing feedback.
- Maintain regular communication with clients to ensure they always feel informed and supported.
- Coordinate appointments, inspections, appraisals and other important milestones throughout each transaction.
- Build positive relationships with clients that create lifelong referrals.
Executive Support
- Manage calendars, appointments and daily priorities.
- Prepare listing presentations, buyer packages and client materials.
- Coordinate meetings, travel and special projects.
- Help keep projects moving efficiently while anticipating what's needed next.
- Protect the Team Leader's time by staying organized and proactive.
Transaction Coordination
- Assist in preparing and organizing transaction paperwork.
- Liaise with lawyers, lenders, inspectors, appraisers and cooperating REALTORS®.
- Monitor important deadlines and ensure files remain organized and compliant.
- Help oversee transactions from accepted offer through closing.
Marketing & Community Engagement
- Assist with social media content and scheduling.
- Coordinate photography, marketing materials and promotional campaigns.
- Create simple graphics using Canva or similar software.
- Help organize client appreciation events, community initiatives and office activities.
- Support the ongoing growth of one of New Brunswick's leading real estate brands.
Office Operations
- Help improve systems, workflows and office efficiency.
- Maintain organized filing systems and client records.
- Assist with CRM management and client follow-up campaigns.
- Look for opportunities to improve the client experience and overall efficiency of the business.

Qualifications
Required:
- Excellent organizational and time-management skills.
- Outstanding customer service and communication skills.
- Strong computer skills including Microsoft Office.
- Experience with social media platforms.
- Valid driver's licence and reliable transportation.
The following would be considered strong assets:
- Experience in the real estate, legal, banking or professional services industries.
- Experience with CRM software.
- Experience creating content with Canva or similar design programs.
- Experience with bookkeeping software such as QuickBooks.
- Knowledge of organizing receipts, expense tracking and preparing financial information for an accountant.
- Experience coordinating projects or events.
