Position Summary:
The HIM Operations Analyst is a subject matter expert who partners closely with HIM and IT stakeholders to support effective system operations. This role focuses on optimizing Epic EMR functionality to enhance operational efficiency, and the accuracy and integrity of the Electronic Legal Medical Record (eLMR). The position emphasizes HIM quality assurance analytics, reporting, workflow and process development, user training, and system optimization, with a strong focus on proactively identifying and mitigating documentation-related risks.
Responsibilities:
- Designs and implements the HIM Quality Assurance (QA) function within Dovetale, including new operational workflows to monitor and compare documentation quality across multiple electronic documentation methods (e.g., front-end dictation/DMO, SmartText, templates).
- Leverages Epic reporting to support data driven decision making and continuous HIM operational improvements that enhance Electronic Legal Medical Record (eLMR) quality.
- Identifies training and competency gaps and provides recommendations for future staffing, resource needs, and strategies to mitigate legal medical record quality risk.
- Conducts audits and quality assurance reviews of HIM operational staff work.
- Develops and maintains reports to deliver regular productivity, quality, and efficiency metrics to leadership.
- Supports process improvement initiatives and change management activities related to HIM chart quality operations.
- Provides expert guidance and advisory support to HIM Chart Quality Assurance (QA) operations.
- Creates reporting and monitoring tools to track quality risk, trends, and performance outcomes.
- In collaboration and consultation with the Manager, develops and delivers all new HIM operations training to support all aspects of HIM Chart QA functions, as well as communications, training and awareness material to support end user practice improvement
- Uses Physician Efficiency Program (PEP) data and Epic reporting platforms to monitor provider efficiency and identify opportunities for documentation improvement across the organization.
- Translates HIM operational needs into technical requirements for ICT to support EMR system changes, builds, and optimizations.
- Participates in testing of new HIM related EMR builds, supplying test scenarios, data, and design feedback.
- Applies Epic system expertise to recommend enhancements and workflow changes that support HIM operations and effective eLMR curation.
- Submits tickets, monitors status of HIM build/fix/optimization requests in EMR system and escalates to Manager and Director as required.
- Communicates system changes, progress, and workflow updates to HIM operational staff to support successful adoption.
- Reports system issues and new requirements through appropriate ICT and Epic resolution channels.
- Collaborates with other Epic hospitals to identify common requirements and opportunities for standardization of solutions and adoption of best practices to support chart quality risks related to the eLMR, and shares solutions with HIM leadership.
- Prepares and presents regular reports for the Health Records Committee on special projects related to provider documentation quality, efficiency, and deficiency management.
- Develops metrics to track issues, efficiency trending and risk.
- Makes recommendations for ongoing process improvement.
- Cross training with other HIM roles and the ability to support alternate responsibilities during periods of coverage, workload fluctuation, or increased service demand is an expected requirement of the role.
Qualifications:
- Bachelor’s degree or College Diploma in a relevant field required, e.g. Health Information or Health related field.
- Minimum of three to five years hospital HIM operations experience, with significant expertise in chart analysis/quality/deficiency management, training, workflow and job aid development.
- Epic credentialed training along with Medical Terminology and/ or Medical Office course completion.
- CHIMA/HIM certification in progress or completed preferred.
- Understanding of HIM standards, structure and content of electronic legal medical records, Epic clinical system and Epic HIM modalities, functionality, reporting tools, Dragon Medical One front-end dictation functionality, Public Hospitals Act, PHIPA provisions related to documentation requirements, accuracy and completeness.

- Excellent Word skills, including reporting tools/spreadsheets/Excel, comfortable creating pivot tables and presenting data to various stakeholders.
- Excellent judgement and ability to delegate.
- Must be able to time manage and prioritize while managing multiple tasks and project related deliverables.
