Executive Assistant/Office Manager to the President and CEO
Genome Alberta is a publicly funded not-for-profit corporation that initiates, funds, and manages genomics research and partnerships. Genome Alberta strives to be the leading source of information and administration related to genomics, proteomics, and bioinformatics research in Alberta. We are dedicated to informing students, researchers, research organizations, our partners, and the public regarding opportunities and challenges in genomics and proteomics, and in encouraging the development of a Life Sciences research industry in Alberta.
About the Role
This is a full-time, hybrid position assisting the President and CEO, and the Director, People and Culture in our Calgary office. The position will consist of 37.5 hours per week (7.5 hours per day, Monday-Friday comprised of working 3 days in the office and 2 days from home).
Roles/Responsibilities:
Executive Assistant/Office Manager:
· Provide high-level administrative support to the President & CEO, including calendar management, correspondence, meeting coordination, and document preparation.
· Draft, proofread, format professional reports, presentations, spreadsheets, and communications.
· Coordinate travel, itineraries, meetings, and special events for staff and the Board of Directors.
· Prepare meeting materials, reports, agendas, and follow-up items for senior leadership, Board, and Committee meetings.
· Manage executive correspondence, filing systems, expenses, onboarding activities, and office/IT coordination.
· Manage office supplies and corporate mobile accounts.
· Coordinate Provincial and Federal Annual Returns.
· Support workflow management in a fast-paced environment with competing priorities and deadlines.
· Provide administrative support to the Director, People & Culture as required.
Board of Directors:
· Coordinate Board meetings, Committee meetings, Board Retreats, and the Annual General Meeting.
· Prepare confidential Board materials, meeting packages, and related documentation.
· Track and communicate follow-up actions from Board meetings.
· Maintain Board records, orientation materials, onboarding documentation, and Board questionnaires.
Qualifications
· Minimum 5 years of relevant experience supporting senior executives.
· Ability to work independently and employ excellent judgment.
· Excellent communication skills and critical thinking skills.
