Position Overview:
We are seeking a permanent Administrative Representative III to join our Transmission Stations Operations & Operations
Department.
Responsibilities:
- Provide confidential administrative support, including processing and maintaining general and confidential staff records
pertaining to employee's information such as letter of offers, transfer notices, staff addresses and phone numbers, expense
accounts, safety footwear allowances and other confidential documents.
- Prepare and maintain accurate timecards, absence reports, SAP and other designated software systems as well as other
related administrative and payroll functions. This would include the updating and managing of the work center's Standby
Schedule.
- Process correspondence, reports, technical documents, and other information in conjunction with technical staff and
responsible for the sorting and distribution of all routine daily correspondence, mail, and other descriptive data to the
appropriate staff, departments, and internal/external contacts.
- Provide continuous office communications, including VHF radio; receive and relay messages as required; in case of an
emergency, contact the proper personnel to take necessary appropriate actions. This will include acting as a liaison between
supervisory staff and employees with regards to the Working Alone Plan and monitoring of the Working Alone board.
- Interpret, apply and administer the IBEW Labor Agreement and answer related questions.
- Utilize the SAP program for Materials Management and Purchasing, by arranging, preparing, and processing invoices, goods
receipts, service contracts, purchase requisitions, purchase orders, stores ordering, and other purchasing requirements. Help
monitor and use data accessed from SAP to provide pertinent information for department decision making.
- Administer, monitor, and compile Visa card purchases and statements which includes the monthly statement reconciliation,
produce purchase requisitions/orders/service entries via SAP system. Issue Visa cheques for purchasing of goods and
services for the department when needed.
- Ensure office supplies, administration and technical forms, and personnel sheets are maintained, and stock replenished and
maintain various filing systems and records, within established procedures for the office and department, including hard and
electronic copies.
- Must participate in the Corporate Safety Program as well as update safety training information.
- Will be required to work at both of the TSO&M Winnipeg Work Centre Locations when required (the immediate requirement is
to start at 1370 Sony Place).
Qualifications:
- Grade 12 education or equivalent plus a minimum of two years directly related office experience
OR
- Grade 12 education plus completion of commercial or vocational special courses and one year directly related office
