Total Health Link is an established, active multidisciplinary healthcare clinic offering Chiropractic, Massage Therapy, Physiotherapy, Pelvic Floor and Vestibular Physiotherapy, Athletic Therapy and Osteopathic services.
We are seeking two dependable and personable Clinic Administrators to join our team on a permanent part-time basis.
This is a varied, hands-on role that goes beyond traditional reception. Our Clinic Administrators manage the front desk during their scheduled shifts and play an important role in the daily operations of the clinic, coordinating patient needs, practitioner schedules and administrative processes, with management support available when needed.
This role is a great fit for someone who enjoys working with people, likes staying busy, takes initiative and is looking for a stable, long-term part-time position.
Responsibilities:
- Manage the front desk and daily administrative operations during scheduled shifts.
- Welcome and assist patients and manage telephone, voicemail, email and fax communications.
- Schedule and coordinate appointments across multiple practitioners and treatment disciplines.
- Register patients and maintain accurate electronic patient records, forms, consents and documentation.
- Process payments, invoices and private health insurance/direct billing, and assist with WSIB and Motor Vehicle Accident (MVA) administrative processes.
- Complete daily payment reconciliation, closing procedures, inventory/restocking and other day-to-day clinic tasks.
- Communicate and coordinate with patients, practitioners, insurers and clinic management as required.
- Assist with routine clinic closing and housekeeping duties in reception and common areas, including garbage, washrooms, surfaces and floors.
What We're Looking For:
- Previous administrative, reception, office, customer service or other relevant professional experience.
- Excellent organizational and time-management skills with strong attention to detail.

- Sound judgment, initiative and the ability to take ownership of responsibilities while knowing when to ask for guidance.

Previous healthcare or rehabilitation clinic experience, ClinicMaster/EMR experience, private insurance/direct billing, and familiarity with WSIB or MVA administration are assets but are not required.
Comprehensive training is provided on our clinic procedures, software, scheduling, documentation, insurance billing and administrative processes.
Schedule & Availability:
This is a permanent part-time position averaging 20–30 hours per week, with daytime, afternoon/evening and Saturday shifts shared among our administrative team.
Typical administrative shift times are:
- Monday–Thursday: 8:30 a.m.–2:45 p.m. or 2:15 p.m.–8:30 p.m.
- Friday: 8:30 a.m.–1:30 p.m. or 1:15 p.m.–6:30 p.m.
- Saturday: 8:30 a.m.–1:30 p.m.
Shift times may vary slightly based on patient and practitioner schedules, and some scheduling flexibility is available within the administrative team.
Our immediate need includes weekday afternoon/evening and Saturday coverage; however, daytime shifts are also part of these positions. We are hiring two Clinic Administrators to share the schedule, so candidates will not necessarily work every evening or every Saturday.
Regular afternoon/evening and Saturday availability is required. Daytime availability and flexibility to occasionally adjust or cover additional shifts are strong assets.
