Job Description
We are seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our growing team at our Moncton office. This role is ideal for someone who excels at client communication, enjoys multitasking, and thrives in a fast-paced professional environment.
The successful candidate will play a key role in ensuring smooth daily office operations by managing client interactions, scheduling appointments, maintaining records, and supporting the team to ensure work is completed. Previous experience in a similar role and working knowledge of the Canadian immigration field are essential.
Key Responsibilities
- Answer and manage incoming phone calls professionally
- Communicate with clients promptly via phone and email
- Schedule and manage client appointments
- Greet clients with a positive and professional demeanor
- Create contracts, invoices, and send receipts
- Maintain accurate client records in accordance with company procedures
- Follow up effectively with clients and internal staff
- Learn and use company software and programs efficiently
- Assist the team with additional duties as assigned
- Meet deadlines while maintaining a high level of accuracy and organization
Requirements & Qualifications
- Minimum 2 years of experience in a similar administrative or client-facing role
- Excellent written and verbal communication skills
- Strong multitasking and organizational abilities
- High attention to detail
- Ability to work efficiently in a fast-paced environment
- Professional, courteous, and client-focused attitude
- Ability to quickly learn new systems and software
Language Requirements
- Fluency in English is required
- Working knowledge of French, Hindi, Punjabi, Gujarati, Malayalam, Telugu, Spanish, or other languages is a strong asset
Work Details
- Location: Moncton Office
- Schedule: Full-time 40 hours per week
- Wednesday to Friday, 9:00 AM – 5:00 PM
- Job Type: Full-time, Permanent
Pay: $16.50-$19.00 per hour
